Overview

Responsible for overseeing the company's overall payment functions and the day-to-day operations of Accounts Payable personnel. The Accounts Payable Manager will work closely with leaders and managers across to the business to ensure that all necessary payments are made accurately and timely. The Accounts Payable Manager will oversee accuracy of vendor payment terms and methods, follows up on past due accounts, and coordinate problems or questions with others as necessary. The Accounts Payable Manager also serves as intermediary between payment activities and Accounting. Position works under limited supervision and requires initiative, confidentiality, and independent judgment in the performance of tasks.

Essential Job Functions



  • Oversees the payment process for outstanding amounts due to vendors.
  • Manages employees who process and post vendor payables and other amounts due.
  • Monitors payables activities and balances on a daily, weekly, and monthly basis and keeps manager informed.
  • Handles difficult accounts and/or aging payables, as well as complaints and difficult calls.
  • Ensures that employees comply with company policies when contacting individuals and other companies to discuss outstanding payables balances.
  • Ensures that all written correspondence complies with company policies in terms of verbiage and frequency of contact.
  • Keeps up with changes in state and federal laws governing debt collections and makes sure employees receive training on changes or updates to such laws.
  • Monitors team activities to make sure that all personnel are performing to expected standards.
  • Identifies areas of payables processes that need improvement and implements enhanced processes that will help the department to be more effective.
  • Tracks the rate of success of the entire process and continues to make adjustments as necessary.
  • Trains new employees and holds training reviews for existing employees.
  • Performs audits of active accounts.
  • Establishes quality control standards and maintains and enforces them over time.
  • Negotiates payment arrangements and follows up to make sure payments are made.
  • Researches and locates missing information needed for the staff to perform at optimum levels.
  • Completes monthly status reports outlining the overall payables activities for the department, as well as individual team members.
  • Sets monthly targets/goals for the payables team and keeps the team informed of results.
  • Performs other duties as assigned.


Required Education and Certifications



  • Associates degree or higher strongly preferred
  • Certification from the Accounts Payable Association (APA), or similar, preferred.
  • 5+ years of corporate payables experience.
  • Minimum of three years in a management payables role.


Required Skills and Abilities



  • Must have a high level of professionalism, including well-developed interpersonal, time management, and multi-tasking skills.
  • Experience managing local, as well as remote staff is preferred.
  • Must be able to manage employees ethically and fairly while still enforcing company rules.
  • Must be perceptive and capable of interacting and communicating with individuals at all levels, exercising diplomacy and tact.
  • Must have outstanding written and verbal communication skills, including the ability to analyze and comprehend complex information and ideas presented in writing.
  • Work requires continual attention to detail, establishing priorities, and meeting deadlines.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, email, and database software (MSWord, Excel, Outlook, and Access).
  • Must understand industry-specific concepts, practices, and terminology.
  • Must be able to respond verbally or in writing to inquiries regarding company services, client accounts, and general inquiries from team members and clients.


Physical Demands, Overtime, and Travel Requirements



  • Work is primarily performed in an office setting. Driving a vehicle to client offices and field offices may also be required. While performing this job, employee is frequently required to stand, walk, sit, hear, and talk. Must be able to speak and communicate clearly with clients, vendors, and coworkers. Employee may lift and/or move up to 25 pounds. Clear vision and depth perception are also necessary.
  • There will be occasions where overtime (or working after normal business hours) will be required to meet the demands of the position.
  • Some local travel to client sites may be required.


The Salary Range for this position is $80,000.00 - $110,000.00 and is dependent on education, experience, location and certifications/licensure.
