Job Summary

We are seeking an experienced Executive Assistant who will provide key administrative support to the partners and professional staff to provide exceptional service both internally and externally to the organization's clients. This position requires an experienced professional to manage multiple relationships internally across the firm and excellent time management skills and an ability to understand and adapt to our client's needs. An advanced proficiency level of administrative skills including communication, the ability to thrive in a fast-paced professional environment, be a self-starter with strong abilities to multi-task, work efficiently, and have flexibility to change in schedule and work hours on occasion.

Essential Functions

  • Manage incoming calls and emails and provide follow-up responses.


  • Respond to internal and external client needs and work to maintain both clients' satisfaction.
  • Professional behavior and ability to interact with board members on occasion.


  • Effectively and accurately manage calendars daily, including coordinating meetings and appointments, lunches, dinners, and proactively addressing any conflicts that arise. This may include managing coordination for internal and external meetings and travel arrangements, as necessary.


  • Print scheduling reports, prepare expense reports, and workflow status reports, draft board slides when required, and review in detail all work presented.


  • Manage highly confidential and sensitive matters.
  • Create ROI reports for the CEO when required.


  • Analyze data across the organization when reporting is required.
  • Support several functional leaders on an ad hoc basis.
  • Provide Office Manager functions as required.
  • Order supplies, lunches, etc.


  • Other duties as assigned.



Education, Experience and Other Skills

  • 5+ years of experience in an administrative capacity supporting C-Suite or Executive level leaders; previous experience of a similar nature.


  • Excellent organizational and interpersonal skills.


  • High Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

    • HubSpot and NetSuite experience preferred.




  • Demonstrated ability to manage multiple tasks simultaneously and problem solve.


  • Strong written and communication skills.


  • Knowledgeable of business grammar and basic proofreading skills.


  • Professional demeanor and appearance.


  • Meticulous attention to detail and strong follow-up skills.


  • Ability to learn new computer programs as required.


  • Capability of working in a fast-paced environment and meeting deadlines.


  • Demonstrated team player with a positive attitude.
