The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Assistant Project Manager will be a key member of Columbia College's innovative and mission-driven Communications, Editorial and Events Team (CEE), charged with coordinating operational and administrative aspects of major initiatives to help sustain an engaged and connected community of students, staff, faculty, and families. Reporting to the Executive Director, the position will also work under the supervision of the Director of Editorial Content and Director of Special Events. In addition to providing project management support for annual initiatives - such as Convocation, New Student Orientation, Family Orientation, Family Days, Homecoming, and Class Day - the Assistant Project Manager will also help to maintain an efficient and productive working environment for the combined CEE team.

Responsibilities



  • Support the CEE team's day-to-day operations by coordinating logistical aspects and project management for multiple initiatives simultaneously. Support the Executive Director and Directors of Editorial and Events in ensuring that the defined deliverables, scope, objectives, roles, and responsibilities are being met through project management techniques and tracking tools.
  • Provide administrative planning support, including status updates, master calendar management, vendor management, budget tracking, and management of the teams shared digital file structure
  • Liaise with the finance team and other central University units to provide administrative project support as needed.
  • Support onsite event operations and logistics alongside event production staff as needed.
  • Work with the Executive Director to conduct post-campaign analysis; implement learnings and best practices identified to enhance experiences, streamline processes and optimize financial decisions.
  • Track invoices, produce monthly financial reports, and provide support for monthly, quarterly and annual accounting close-outs.
  • Manage project management system and documentation (Asana, Minute-by-Minute documents and leadership briefs).
  • Other duties as assigned.


Minimum Qualifications



  • Bachelor's degree or its equivalent required.
  • Minimum of 2 years of relevant experience required.
  • Experience with event planning technology, project management software, or financial management systems.
  • Ability to prioritize and manage multiple projects and deadlines in a dynamic environment.
  • Excellent interpersonal and oral and written communication skills.
  • Skilled at developing strong relationships with both internal and external partners.
  • Strong project management skills and sharp attention to detail.
  • Ability to work independently and confidently negotiate contracts.
  • Possess demonstrated ability to handle multiple projects with competing deadlines and objectives.
  • Comfort and ease in communicating with leadership.

Preferred Qualifications



  • 3+ years of experience in event management, project management, administrative support, or finance/accounting.
  • Experience in a university, major cultural institution or other comparable environment is desirable, as is events experience in a university or other complex not-for-profit environment.
