Apprenticeship Operations Assistant

Hourly Rate: $16.69

This position is a grant-funded, on-campus, part-time, up-to 19-hour appointment based in Champaign, Illinois.

The Apprenticeship Operations Assistant supports employer-sponsored students by serving as a dedicated resource throughout Parkland College's enrollment process. This position is responsible for guiding students from their initial application through class registration, ensuring a seamless and supportive experience. By maintaining accurate records, coordinating events, and fostering collaboration among stakeholders, this role directly contributes to the success of work-based learning programs and the achievement of organizational goals.

Essential Job Functions:

  • Facilitate enrollment operations for employer-sponsored students.
  • Guide prospective and continuing employer-sponsored students through the work-based learning program enrollment process with admissions, assessment, course selection, and enrollment.
  • Maintain daily communication with students, employers, faculty, and internal departments regarding work-based learning enrollment and related activities.
  • Coordinate on-site assessment testing with Assessment Center staff and employers to ensure students meet placement requirements.
  • Plan student orientation events to complete necessary Parkland College and USDOL paperwork and provide an e-tools overview to new students.
  • Collaborate with Campus Tech Services and Learning Commons staff to coordinate and host bulk laptop checkout events for program students.
  • Maintain accurate apprentice records in USDOL Rapids software and the College ERP system, ensuring compliance with all relevant requirements.
  • Prepare and distribute midterm and final grade reports to employers and sponsors in a timely manner.
  • Other duties as assigned.

Minimum Requirements:

  • High school diploma or GED equivalent.
  • One (1) year professional office experience
  • Work collaboratively in Office 365 applications including shared files.
  • Ability to learn and use new technology and software quickly.
  • Ability to prioritize, handle a complex workload, and meet tight deadlines.
  • Strong written and verbal communication skills.
  • Ability to multitask and work with minimal supervision.
  • Attention to detail with emphasis on accuracy and quality.
  • Must successfully pass a criminal background check with fingerprinting.
  • In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment. This applies to all SURS annuitants except those receiving their annuity under either the Self-Managed Plan (SMP) or by lump sum payment.
