Summary of Job Duties:The Assistant Chair/Department Administrator directs human resources, finance and budgeting, strategic planning, and department operations, as well as acting as a representative of both the Department and College both within and outside UAMS. In helping to fulfill the mission of UAMS, the Department Administrator has administrative authority over the Department's research, educational, and service operations and activities. Uses judgment and experience to apply advanced knowledge, skills, methods, and practices, conducts analysis and problem-solving to plan and prioritize a varied workload that involves developing solutions to emergent issues, time-sensitive and/or confidential projects, and complex problems. This position will serve as the primary contact for the Faculty, Students and Staff homed in Physiology and Cell Biology departments as well as Graduate Students in the respective programs in the Graduate School. This position also has a direct reporting relationship to the chair as well as Associate Dean of Finance and Administration as the Department Administrator for Physiology and Cell Biology. Qualifications:
  • Bachelor's degree in Business, Health Care or related field plus 6 years business management experience with exposure to a combination of budget, finance and human resources OR Master's degree plus 4 years business management experience with exposure to a combination of budget, finance and human resources.

Knowledge, Skills & Abilities:

  • Knowledge of academic medical center operations, planning, finance and administration.
  • Ability to collaborate with clinical partners to ensure seamless operations between academic and clinical enterprise.
  • Experience using: Workday (recruitment, financial reporting, procurement, travel), JFR, TRACKS, FacFacts is preferred.
  • UAMS Grants Management Certification is preferred.

Responsibilities:

  • Strategic Planning: Collaborate with department leadership to develop and implement mission, vision, goals, and strategic plans; monitor progress and provide decision support.
  • Finance and Budget Management: Oversee budget creation, financial reporting, grant compliance, payroll, and financial transactions; ensure adherence to UAMS policies and deadlines.
  • Human Resources: Manage staff recruitment, training, supervision, and performance evaluations; facilitate faculty hiring, promotions, and compliance with HR policies.
  • Operations and Leadership: Maintain relationships with internal and external stakeholders; address operational needs in collaboration with UAMS offices, including IT, space, and lab management.
  • Research and Education Support: Assist faculty with resource allocation for research and educational programs; ensure compliance with UAMS and accrediting body standards.
  • Customer Service: Provide exceptional support to internal and external stakeholders while ensuring professionalism, confidentiality, and effective communication.
  • Business Development: Collaborate on grants, contracts, and fundraising activities to advance departmental goals and opportunities.
