Position Summary:
The
Executive Assistant is a critical partner to the Senior Vice President (SVP)
for Real Estate Development and Capital Operations, providing executive-level
support to drive strategic priorities, operational excellence, and departmental
objectives. The Executive Assistant manages essential priorities, initiatives,
and activities that advance the SVP's vision and coordinates cross-functional
efforts to align with the university's mission and strategic goals. The role is
the liaison to the SVP's operational support functions, including budget
management, personnel processes, and performance tracking, fostering effective
communication and collaboration with internal and external stakeholders.
Essential Functions:
- Strategic Support and Coordination: Acts as a strategic advisor to the SVP by providing executive-level support in decision-making, prioritization, and strategy alignment. Handles sensitive and confidential issues as the SVP's first line of response on operational matters.
- Operational Management: Coordinates the SVP's office support functions, including budgeting, requisition tracking, credit card administration, hiring processes, and performance management, aligning with strategic goals and partnership with the Manager of REDCO Administration. Collaborates with the SVP to create strategic agendas for high-level meetings, events, and planning sessions.
- Project Management: Manages the planning, implementation, and follow-up of special projects and strategic initiatives, ensuring the successful execution of objectives. Works closely with key stakeholders to monitor project milestones and assess impact, efficiency, and goal alignment.
- Policy and Process Improvement: Partners with SVP leadership to develop, review, and implement policies and procedures that support effective operations. Identifies process improvement opportunities to enhance efficiency and productivity.
- Event Planning and Coordination: Oversees the planning and coordination of events and meetings, facilitating logistics to ensure alignment with departmental and institutional objectives. Works closely with internal teams to organize presentations and materials as needed.
- Communications and External Representation: Drafts key communications and represents the SVP in meetings and events as needed, ensuring that initiatives are clearly conveyed and priorities are advanced. May attend off-campus, local events on behalf of the SVP to promote university objectives and address institutional matters as they arise.
- Stakeholder Engagement: Builds and maintains productive relationships across university departments and with external partners to foster collaboration, drive initiatives, and ensure that objectives are consistently met. Coordinates with various departments to streamline activities that support the SVP's office.
Additional Functions:
- Meeting Preparation and Follow-up: Creates agendas, tracks action items, and coordinates follow-up for meetings, including leadership team meetings and cross-departmental task forces.
- Leadership and Supervision: Coordinates and represents the SVP with the office staff, including the Manager of REDCO Administration, and other support roles as assigned to ensure team alignment and effectiveness in meeting departmental goals.
- Communication Development: Collaborates with the Office of Strategic Communications and Marketing to support the drafting of speeches, announcements, and strategic messaging on behalf of the SVP.
Prerequisite Qualifications:
- Bachelor's
degree with 3-5 years of relevant experience.
- Must
possess initiative and have excellent communication, writing, and telephone
skills. Must have excellent organizational skills. Must be able to work independently,
exercise discretion, and assume responsibility. Must have demonstrated
knowledge of the MS Office suite of products.
- At
the university's discretion, the education and experience prerequisites may be
excepted where the candidate can demonstrate to the university's satisfaction
an equivalent combination of education and experience specifically preparing
the candidate for success in the position.
Preferred Qualifications:
- Possess
the ability to learn new computer-based applications.
- Comfortable with
information technology.
- Proficient in Banner or related software.
- Familiar with
a higher education campus's design, construction, maintenance, and operations.
