Purpose of Position |
The Coordinator for University Development contributes to NKU's fundraising success by providing executive support for the Assistant Vice President of University Development and for the regular operations of the development function.
This position's primary responsibilities include calendar management, organizing regular staff meetings and data reporting, purchasing, accounting, organizing travel, personnel management support, equipment/supply inventory, data entry, event support, and donor stewardship activities. |
Primary Responsibilities |
- Manage administrative functions for the Assistant Vice President of Development (AVP) including maintaining calendars, making appointments, arranging travel, preparing meeting materials, typing correspondence, maintaining office files and special projects as assigned.
- Accounting and budgetary responsibilities include managing the budget transactions for over 15 accounts that includes university and foundation accounts, managing and reconciling pro-card expenses for the AVP and Director of Annual Giving, employee reimbursements, paying invoices, account creation, deposits, new vendor set-up, annual inventory, and supply and orders. Manage working with outside vendors to order apparel, gifts and giveaways for the Annual Giving program.
- Serve as a project manager for development cultivation events including managing and updating the master calendar, creating and managing individual event timelines, creating event pages in RE, requesting communication support including emails and RSVP links, managing space reservations/rentals and catering logistics, managing event budgets, and keeping team members on tasks for responsibilities.
- Coordinate personnel management activities on behalf of the AVP including approving/verifying timecards, facilitating hiring and separation process, onboarding activities, and updating all documentation regarding positions with NKU Human Resources. Manage new hire paperwork and approve time for 30 students in our student phonathon program. Work as a liaison to the phonathon supervisor (RNL is an outside vendor contract) and HR/payroll to ensure they are paid.
- Provides team support by compiling and disseminating agendas for regular meetings of the development staff; submitting and tracking requests for support for writing, design, data lists, web updates as needed; engaging in proactive communication reminders, and by collecting and organizing files and reports in OneDrive Team Share.
- Documents and maintains quality database records as requested; primarily Raiser's Edge NXT/FPM.

Qualifications |
- Bachelor's degree and 2 years of related experience or an associate's degree and 3+ years of previous executive, administrative or program support experience accepted in lieu of Bachelor's degree.
- Strong written communication skills to prepare and edit effective correspondence for individuals and groups
- Cultural competency and ability to interact favorably with a diverse range of individuals
- High attention to detail, experience managing multi-phase projects from inception to completion
- Organizational perspective, ability to work in a fast-paced environment, comfortable with change and associated ambiguity are valued competencies
- A working knowledge of Microsoft Office applications is required and knowledge of Raiser's Edge is a plus
- Ability to problem solve and generate creative solutions
- Exceptional judgment, ethics, and integrity; discretion, professionalism and ability to maintain confidentiality
- Must have passion for philanthropy, higher education, NKU, and the community that it serves
- Valid driver's license and access to dependable vehicle required
