Job Description

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be especially well organized, flexible, and enjoy the challenges of supporting an administrative team of diverse people and programs. The ability to interact with people (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.

1. Promote the mission, vision, and values of the department while managing a small administrative support team.

2. Provide full executive support to the Chair, Vice Chair for Faculty Affairs, and Vice Chair for Clinical Affairs.

3. Provide administrative support to the Department Administrator.

4. Prioritize and manage multiple projects/processes simultaneously, collaborating with the Department Chair, Vice Chairs, and Department Administrator on key decisions and overseeing documentation and deadlines.

h. Ongoing Professional Practice Evaluation (OPPE)

5. Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex meetings, of which could be private and/or sensitive in nature.

6. Responsible for day-to-day office operations.

7. Prepares and drafts complex documents such as forms, memos, letters, and presentations for both internal and external audiences, ensuring accuracy through proofreading for grammar, spelling, and formatting.

8. Drafts meeting agendas, attends meetings, and takes detailed minutes for distribution.

9. Coordinate travel arrangements for management, physician recruitment, physician education, conferences, etc.

10. Implement organization strategies for pertinent documents (faxes, mail, scan documents, etc.) kept in office - educate teammates and providers.

11. Make purchases for administration office.

12. Willingness to occasionally adjust work hours outside of the standard

This position will support the overall School of Medicine mission to save and improve lives - through exemplary education, research, and patient care. Create and sustain a diverse and inclusive environment for all constituents.

Shift

Monday - Friday, 8:00 a.m. to 5:00 p.m.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Hiring Range: $18.50 - $26.34 hourly
