Department OverviewThe US Federal Governments Markets Division is chartered with being the premier, compliant supplier of world-class communications solutions to the U.S. Federal Government by providing the highest quality products, systems and services. The Federal Systems Technology department of the USFGMD is responsible for service supporting a charter of implementing and integrating complex systems sold worldwide to The US Federal Government. This position provides contractual, administrative and operational support for the U.S. Air Force's Global Sustainment Program at Motorola, which supports the U.S. Air Force's worldwide Enterprise Land Mobile Radio System (LMR) providing public safety communications for the U.S. Air Force, Space Force and Army. Job Description

U.S. Air Force Land Mobile Radio (LMR) system today is a robust, ultra-complex deployment of disjointed, multi-zone ASTRO systems on different system releases and using varying technologies. This position will work with the Motorola's Air Force Service Team, Presale and Postsale teams, Engineering, Project Managers, Customer Service Managers, Sales, the Air Force Program Manager and DoD Director of Global Sustainment. This position will support the Air Force Team at Motorola with administrative, contractual, logistical and operation support. Some, but not all duties may include logistics and shipping, logistics planning, administrative reports, editing and reviewing reports, assisting with financials, contractual loading and support, conference call setup and support, ticket handling and assignment and other duties needed to support the U.S. Air Force.

  • Responsibilities include providing administrative support to the Program and Program personnel, Director of DoD Sustainment Services and Program Manager.

  • Provide conference call support, setup, logistics, note taking, uploading reports into company and government systems.

  • Read and understand contracts and contract requirements.

  • Provide administrative support to the team and management

  • Provide logistics planning and on-site support if needed

  • Assist with tracking and managing tickets for system related issues and other company or government systems

  • Coordinate, develop, format, review, edit and submit system reports and government CDRL's, without errors, to management, for review prior to being sent to the Air Force

  • Assist with loading of contracts into contract management tools

  • Provide basic financial and budget support

  • Providing operational system support

  • Assisting with or ordering and procurement of supplies and equipment

  • All other duties as assigned by the Program Manager or Director

  • Track and manage antenna replacements.

  • Track completion of work and ensure payments to contractors.

  • Track project progress, identify potential issues, and provide regular updates to stakeholders.

  • Develop and implement risk mitigation strategies.

  • Familiarity with the Department of Air Force Enterprise Land Mobile Radio (DAF ELMR) system.

  • Ability to analyze and report on project metrics and performance.

  • Experience in developing and maintaining SOPs.

  • Knowledge of DoD compliance and cybersecurity requirements.

Preventative Maintenance Inspections (PMIs):

  • Oversee approximately 500 annual PMIs for various US Air Force sites, as well as approximately 200 RF System Assessments performed biennially.

  • Develop and maintain PMI schedules.

  • Create and deliver Statements of Work (SOWs) to contractors and Field Service Organizations (FSO).

  • Coordinate with Customer Support Managers (CSMs) and technical teams to schedule and complete inspections.

  • Review inspection reports and ensure the quality of work.

  • Track PMIs through to completion and ensure proper archival.

  • Ensure corrective maintenance cases are opened and resolved when defects are found.

Contract Data Requirements List Support:

  • Deliver Preventative Maintenance Inspection CDRLs to the Air Force Installation and Mission Support Center (AFIMSC).

  • Collaborate with System and Service Managers to provide data for CDRL Quarterly Sustainment Services Report.

  • Author and update CDRL Customer Support & Help Desk Contact Information Plans.

  • Author CDRL Communications Plans.

  • Track CDRL deliveries and ensure compliance with schedules.

  • Conduct CDRL Administrative Reviews prior to government release.

Financial Management:

  • Manage project expenses, ensuring projects stay within budget.

  • Negotiate quotes and manage costs for antenna replacements.

Administrative Support:

  • Manage team documents and templates, ensure version control, and prepare for management review and approval.

  • Take meeting notes, distribute them, and track action items.

  • Maintain the program schedule, ensuring accuracy and completeness.

  • Maintain project documentation, including meeting minutes, decision logs, and change orders.

Training and Compliance:

  • Complete MSI Core Compliance Training by the due date.

  • Complete USAF Program Training (including IAT Level I) by the due date.

  • Obtain a DoD Common Access Card (CAC) and adhere to associated policies.

  • Be willing and able to obtain a DoD Secret-level clearance, if required.

Communication & Collaboration:

  • Attend and participate in team meetings and other internal and external meetings.

  • Communicate effectively with technical teams, CSMs, service providers, and USAF personnel.

  • Escalate all contractual, financial, or sensitive matters to the USAF program manager immediately.

Specific Knowledge/Skills:

  • Proficiency in MS Word, Excel, Outlook, and Google apps and Google suites

  • Excellent communications skills, including interpersonal skills

  • Strong self management skills and a high work ethic

  • Results driven and oriented

  • The ability to read, understand and interpret contracts as well as understanding basic financial accounting principles and budgets

  • Excellent writing skills and the ability to proofread, edit and format written documents and reports

  • Must have a current, valid driver's license and no traffic violations that would not permit driving for work

Personal Traits:

  • Strong self-management skills and interpersonal communication skills to work closely with Motorola's customers and subcontractors (MSS) community, as well as Motorola Sales, Engineering, Project Management, customer service teams, and management

  • Self-motivated and self-managed to perform the required duties at a distance from direct supervision

  • Ability to solve customer problems quickly, efficiently during stressful situations

  • Excellent communication (oral and written) skills and must also have high sense of urgency, strong work ethic and is results oriented

  • The ability to learn new skills, systems and technologies

Preferred Qualifications:

  • Experience reviewing, editing and formatting reports for executive level personnel

  • Experience in providing executive level administrative support, including logistics, policy/SOP development and making recommendations to executive level managers

  • Experience in assisting with basic finances and budgets

  • Experience in or supporting public safety or public safety communications

Target Base Salary Range: $68,200 - $109,100 USD

Consistent with Motorola Solutions values and applicable law, we provide the following information to promote pay transparency and equity. Pay within this range varies and depends on job-related knowledge, skills, and experience. The actual offer will be based on the individual candidate.

Basic Requirements
  • Bachelor's degree OR 5+ years of experience in one of the following: administrative, contract management, project management, engineering, communications, project coordination, project management, communication systems, ASTRO 25, P25 7.X systems, networking, RF systems, military, or public safety.
  • Legal authorization to work in the U.S. indefinitely is required. Employer work permit sponsorship is not available for this position.
  • Must be a U.S. citizen with ability to obtain necessary security clearance as required by government contract(s)
