POSITION
SUMMARY:
The Administrative
Assistant performs duties that provide office services by implementing
administrative systems, procedures, and policies to ensure effective and
efficient operation. The position requires a strategic partnership with the
Project Management, Operations, and Preconstruction/Estimating teams to
complete administrative tasks as they arise. The Administrative Assistant must
be a flexible team player with strong communication and client service skills.
MAJOR DUTIES & RESPONSIBILITIES:
- Provides administrative and clerical support to the team
- Oversee Quality Control and Quality Assurance Documentation: Ensure all QC and QA data is accurately entered and managed within Autodesk Construction Cloud (ACC) maintaining consistency, accuracy, and completeness across all project shareholders.
- Manage
User Access and Training: Assign appropriate training and manage
administrative access for ACC users. This includes determining roles and
responsibilities within the platform, ensuring users/contractors are
trained on proper documentation procedures, and overseeing their access
permissions to maintain security and efficiency. - Responsible for site access requests. Coordinates with the on-site Security Team for all Manhattan employees and subcontractors.
- Assigns and manages site specific laptop computer assignment program and security badging protocols
- Correspond with clients via phone and e-mail communication
- Assist with budgets, financing and monthly billing audits as needed
- Help prepare meeting agendas and presentations
- Manage calendar and schedule appointments
- Arrange travel plans and itineraries
- Assist with the preparation of expense reports in accordance with Accounts Payable's policies and procedures
- Maintain office supply stock
- Responsible for conducting themselves in accordance with our Guiding Principles and exhibiting attributes matching the Way We Work.

MINIMUM
QUALIFICATIONS:
- High School Diploma or GED
- Three years of administrative/secretarial experience
WORKING
CONDITIONS AND PHYSICAL EFFORTS:
- Ability to physically stand, bend, sit for long periods, and squat throughout the day.
- Ability to repeat the same movements.
- Ability to communicate effectively and participate fully in meetings, video conferences, and phone calls.
- Use hands to type, handle, control, or feel objects, tools, or control.
- Occasionally lift, pull, or move up to 25 lbs.
- Occasional travel will be required, primarily in the metropolitan area but sometimes domestically (must have a valid Driver's License).
