The Development Associate, Gift Planning is an early career level position providing administrative support to the Assistant Vice President, Gift Planning, and other members of the Gift Planning team. The Development Associate will be a key member of a dynamic team focused on handling high-level activities in a complex environment. They will work with the AVP of Gift Planning and other team members to assist with special projects, coordination of marketing initiatives and database integrity.
The Mass General Brigham Development Office offers excellent benefits, competitive salaries, and a hybrid flexible work schedule being onsite for a minimum of 6 days a month in our world-class Somerville Assembly Row facility.

* Provide administrative support for members of the Gift Planning fundraising team. Track and prioritize daily activities, team projects, and assist in reporting team results as needed.

* Manages calendars and assists in preparing for appointments, meetings, and presentations by anticipating, coordinating, reviewing, and organizing related materials including PowerPoint and handouts.

* Works closely with the leadership to handle high level internal and external relationships. Directly contacts donors and other constituents, demonstrating good judgment and discretion and representing Brigham Development with the highest degree of excellence.

* Updating information in the fundraising database including biographical information, fund designation, receipts and acknowledgments as appropriate, producing queries, reports and mail merges.

* Writing, proofreading, editing, and reviewing correspondence and other written materials upon request and interprets information necessary to draft responses as needed.

* Fielding routine phone calls and taking accurate messages.

* Troubleshoots and resolves issues with internal/external constituencies departments using subtlety and tact.

* Prioritizing and sort incoming mail.

* Book travel arrangements, including accommodations, flight, and ground transport, with personalized itineraries outlining development-related travel activity, processing-related travel, and business expense reports.

* Prepare meeting materials, agendas, and other correspondence, sharing minutes and next steps in a timely manner.

* Arranges meetings with prospects, donors, volunteers, and hospital staff. This includes scheduling participants, securing meeting location, and making site arrangements. Prepares biographies, briefings, and agendas for meetings.

* Helps to pull together budget materials, organizing and track against FY Operating Plan.

* Organizing and maintaining Gift Planning files, both paper and electronic.

* Make outreach to donors and prospects as identified by Gift Planning team.

* Event planning, including briefings, mailings, RSVP tracking, and event staffing (set up, registration, clean up).

* Occasional night and weekend hours supporting development activities.

* Works independently on special projects as needed with some supervision.

* Other duties as required

QUALIFICATIONS:

* High School diploma/GED required.

* One year's administrative experience with development experience preferred.

* Excellent written and verbal skills with strong proofreading ability.

* Superb organizational skills with meticulous attention to detail.

* Excellent computer literacy and intermediate experience in using Microsoft Office Products, including Word and basic PowerPoint and Excel.
