Job Summary:

The mission of the Division of Business Services (DoBS) is to support UW-Madison's institutional responsibilities of higher education and research. Business Services offers a broad range of services and transaction processing to campus, including accounting, internal auditing, risk management, purchasing, materials distribution and surplus property management, and tuition and student loan services.

Located in the Division of Business Services, Accounting Services - Financial Information Management, provides financial services and management for UW-Madison, including the processing and reporting of accounting data. The department develops and implements financial policies and procedures for university-wide business processes for compliance with tax laws and other Federal and State regulations.

This position will function under the general supervision of the Assistant Director for Non-Sponsored Accounts Receivable and Billing within the Business Services department for UW Madison. This position will review and generate bills into invoices, prepare deposits and apply payments and update or create new customers as requested. This position will also provide customer service to external and internal customers on invoice status, payment inquiries, etc. This position will support campus users of the Accounts Receivable and Billing Peoplesoft modules on how to navigate and use the systems. This position will follow many UW policies and procedures governing accounts receivable and billing.


Responsibilities:
Performs general accounting duties following generally accepted accounting principles and procedures. Prepares financial reports and assists with budgeting. Ensures the accurate recording and reporting of the business unit's financial transactions.

  • 5% Organizes, prepares, and updates basic financial statements, monthly and year-end journal entries, accounts, ledgers, and reports for various financial needs within an automated financial system to ensure accurate recording and reporting of financial transactions
  • 5% Prepares and analyzes financial data, reports and records, identifies discrepancies, investigates, recommends, and implements basic solutions as needed
  • 5% Assists with accounting and reviewing reconciliations, journal entries, schedules, and reports
  • 35% Answers questions and provides accounting related information to internal and external stakeholders according to established policies and procedures
  • 50% Prepares and/or approves financial transactions and payments

Qualifications:

Required:
- A strong understanding in accounts receivable transactions and processing.
- Experience engaging and managing internal and external customer relationships and a strong ability to maintain effective working relationships
- Demonstrates extensive detail-orientation, research and problem-solving abilities

Preferred:
- Prior Accounts Receivable experience.
- Highly proficient using Microsoft Excel and Microsoft Desktop environment
- Knowledge of University, State, Federal and/or Nonfederal rules and regulations
- Familiarity with University financial systems such as SFS and WISER.


Work Type:

Full Time: 100%

It is anticipated this position will be remote and requires work be performed at an offsite, non-campus work location. May need to go into the office periodically.
