Description

This part-time position offers a work schedule of less than 29 hours per week. Eligible part-time employees working 24-29 hours weekly may qualify for some benefits, including health insurance and pension options. Part-time employees also accrue vacation and may receive paid holidays, depending on their schedule. Additional details regarding benefits and eligibility will be discussed during the hiring process.

Metra is one of the largest and most complex commuter rail systems in North America, serving Cook, DuPage, Will, Lake, Kane, and McHenry Counties. The agency is linking communities in Northeastern Illinois by providing safe, reliable, and efficient commuter service.

Procurement Operations is headed by the Sr. Division Director, and divided into four groups: Procurement, Materials & Services Procurement, Professional Services Procurement and Construction & Facility Maintenance.

Reporting to the Manager, Materials, the Materials Management Coordinator will coordinate all material control and purchasing activities and processes.

The primary duties include: Ensure purchase agreements accurately reflect the needs of the customer by working with the user groups to collect and document information pertaining to projected item usage and take necessary steps to ensure current item pricing and lead times are also reflected.

Expedite open purchase orders; electronically track vendor responses; and provide customers with updated vendor delivery dates.

Take appropriate necessary steps to respond to inventory demand by entering orders into the enterprise resource planning (ERP) system.

Review and audit established purchase agreements for accuracy and provide recommendations to correct any deficiencies to the appropriate personnel.

Assist with reconciling discrepancies with open purchase orders such as quantity and price variances, unit of measure and packaging issues, etc.

Works under both inside and outside environmental conditions under prevailing conditions of heat, cold, rain, and snow.

Requirements

1. Bachelor's degree in supply chain and logistics, business administration, or related degree OR in lieu degree, any combination of education and experience may be substituted for the degree that equals four (4) years in supply chain operations or materials management.

2. In addition to #1, must have two (2) years of supply chain operations or materials management.

3. Good knowledge of:

  • materials ordering and management procedures.
  • purchase order processing.
  • inventory reporting.

4. Working knowledge of purchasing and inventory systems.

5. Intermediate skill using Microsoft 365 (Word, Excel, Access).

6. Familiar with ERP systems such as Microsoft D365, SAP, or Workday.

7. Good:

  • math skills to evaluate operational statistics.
  • written and verbal communication skills.
  • organizational and analytical skills.
  • customer service skills.

8. Ability to:

  • research, problem-solve, and manage conflict.
  • maintain detailed records and prepare reports.
  • assist in establishing inventory guidelines.
  • prioritize assignments, meet deadlines, and coordinate and complete work accurately.
  • lift and move up to 30 pounds.

9. Must be able to operate a vehicle and be willing to travel within Metra's 6-county region.

Preferred:

  • Experience in enterprise resource planning (ERP) systems.
