We are seeking a dynamic and detail-oriented Marketing Assistant to support our marketing efforts. This position is ideal for someone who thrives in a fast-paced environment, has a passion for organization, and possesses strong communication skills. You'll work closely with the marketing team, engineers, and business development staff to help promote our brand, showcase our expertise, and ensure smooth execution of events.

Primary Responsibilities

This position works within the Transportation Business Group Marketing Services Team and will work in a collaborative team environment across Pennsylvania, Ohio, West Virginia, and Delaware. Strong organizational aptitude, attention to detail, strong communication skills, and the ability to work under tight deadlines with diplomacy are essential. This position requires balancing multiple concurrent assignments. This is not a social media or traditional marketing position. This is an exciting and challenging position ideally suited for an organized, motivated person who works well in a team environment.

In the role of Marketing Assistant, we'll count on you to:



  • Manage the coordination of area events, conferences, sponsorships, and trade show participation including booth activities and related logistics. Responsibilities will include tracking upcoming events, sending invitations to appropriate stakeholders, managing attendee registration, processing payments through internal processes, and overseeing post-event follow-up and reporting.
  • Assist with financial and forecasting documentation utilizing Microsoft Excel.
  • Assist Marketing Manager with corporate credit card reconciliation and charitable contribution reporting.
  • Assist marketing staff with meeting minutes and action items, as requested and needed.
  • Assist marketing team with proofreading, formatting documents, etc.
  • Maintain marketing materials including resumes and project descriptions, photographs, etc.
  • Administrative/clerical support for Area Marketing Services Department.
  • Perform other duties as needed.


These marketing and administrative activities require self-direction and ability for forward thinking. Strong organizational and interpersonal skills along with the ability to work under deadlines is a must.

Preferred Qualifications



  • Associate's degree: Marketing, Business, or Communications preferred (or related fields) or combination of education and years of experience.
  • Entry-level marketing experience.
  • Proficiency in MS Office required, particularly Excel, Word, and PowerPoint. Knowledge of Excel pivot tables a plus.
  • Excellent organizational skills with ability to handle multiple tasks and meet deadlines.
  • Excellent written and verbal communication skills.
  • Strong computer aptitude and analytical skills required.
  • Ability to work cooperatively with diverse teams, including area marketing staff, business development staff and technical staff.
  • Understanding of A/E/C marketing preferred but not required.
  • Willingness to travel between HDR offices, on occasion.
  • An attitude and commitment to being an active participant of our employee-owned culture is a must.
