In this role you will:

Specifications Administration (Primary Role)

    Work closely with Project Specifiers and internal/external design disciplines to collect, organize, and publish specifications and assemble project manuals;
  • Utilize experience and technical knowledge to enhance the quality of documents produced and maintain open and ongoing communication with Project Specifiers and designated project team members throughout the various phases of design;
  • Conduct quality reviews of specifications to identify missing content and incorrect formatting and coordinate revisions;
  • Publish completed project manuals to meet schedules and deadlines; and
  • Maintain responsibility for management of specifications project folder.

Construction Administration (Secondary Role)

  • Coordinate workflow of construction administration tasks including processing submittals, requests for information (RFIs), and other construction administration related documentation;
  • Perform construction administration tasks using web-based project management software;
  • Support and implement HGA's construction administration process;
  • Assist in preparation, assembly, and submission of construction contract documents during construction administration; and
  • Act as liaison between design professionals, contractors and client representatives.


You will need to have:

  • High School degree or an equivalent combination of related education and experience. Associate degree or two-year technical school degree preferred
  • 2+ years of experience in specification administration, construction administration or related experience
  • Familiarity with VisiSpecs or other web-based specifications writing software preferred
  • Basic understanding of MasterFormat organizational structure for project specifications
  • Ability to read, understand, and work with construction documents, specifications, submittal requirements, and contractor submittals and requests for information (RFIs)
  • Ability to quickly switch tasks and simultaneously work on multiple projects of varying types and sizes
  • High attention to detail, excellent organization skills, strong written and verbal communication skills, and problem-solving skills
  • Familiarity with California's HCAI and DSA administration processes and requirements preferred
  • CDT certification preferred
  • Experience with Newforma or other web-based construction project management software
  • Proficient with Microsoft Office Suite

Salary Information:

The pay range listed aligns to the geography of the varied offices for which this position is posted. Actual compensation will be based upon location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer.

Individuals in this role working more than 24 hours a week on a regular basis are eligible to participate in HGA's robust benefit programs which include an annual bonus and success sharing bonus program, 401(k) guaranteed contribution, paid parental leave, medical, dental and life insurance plans as well as PTO and short- and long-term disability programs. Hourly range: $21.92 to $33.80
