Summary: Performs a variety of coordination support functions for the unit. The program assistant will be responsible for patient scheduling, physician scheduling, building new patient charts, pre-authorization verification, scanning all consents, ordering office supplies, managing work queues and fax queues, provide timely follow-up with outside referring physician offices, and providing accurate and consistent information across all health care computer systems. This role is a key member of the team and a go-to for the physicians (both internal and external), staff, volunteers, and patients. This role coordinates the clinic to help ensure physicians, staff and patients are working harmoniously. Responsibilities:
- Complex Scheduling Works closely with outside physician offices and internal physicians to schedule new patient oncology consults, treatment plans, therapy plans, follow-up appointments, bone marrow biopsies, diagnostic imaging, and referrals to outside providers. This is complex scheduling that requires many parts to be completed and correct in order to move forward. This task requires excellent communication skills to ensure accuracy.
- Serves as receptionist for the department. Courteously screens and determines priority of calls, making every effort to contact person being called in urgent situations, and ensuring that calls of minor importance are held for later response when the person being called is involved in more important matters. Ensures prompt delivery of telephone messages, to include name of caller, telephone number, time and date of call, message and disposition. Accurately and promptly relays verbal messages to appropriate person. Pleasantly greets visitors, patients, families and physicians, and promptly and appropriately addresses their needs. Competently handles routine and simple requests without advice or assistance.
- Maintains patient schedule, and assembles, processes and maintains patient records and files. Maintains an accurate up-to-the-minute calendar of out-patients on an on-going basis. Obtains necessary signatures upon the arrival of new patients. Acquires all data/records pertinent to the consultation of new patients along with other documents/materials that may be necessary for the physician to assess the patient's condition prior to, during or in follow-up to treatment, on a timely basis. Places charts in correct patient file immediately upon receipt. Prepares new charts, and completes all required information, prior to patient's arrival. Ensures that dictated reports are accurately filed in patient charts and medical records, and are distributed to appropriate physicians, on a timely basis.
- Performs a variety of operational support functions.
- Communicates and collaborates with others regarding departmental matters.
- Maintains equipment and work areas.
- As assigned, participates in the orientation and training of other employees, new employees and students to the clerical procedures required in the department.
- Performs miscellaneous duties, as needed, to support operations and the provision of care to include, but not limited to: -Serves on committees, as requested.
- Physician Scheduling Works directly with physicians and mid-levels to ensure scheduling templates reflect preferences, tweaks and modifications as they arise. Works directly with providers to ensure that the schedule reflects physician availability and vacation request.
- Medical Records/Billing/Denials Works close with the revenue integrity department and medical records department to help gather information needed to move forward with appealing denials and preauthorizing necessary treatments.
Other information:
- Associates degree in Medical Office Administration or related field preferred.
- 3 years of General - Secretary experience
- Healthcare experience preferred. Knowledge of medical terminology and familiarity with medical records. Knowledge of insurance authorization process. Strengths in organization and multi-tasking.
