The Department of Orthopedics is searching for a Clinic Services Specialist to contribute to the success of the Work Injury Recovery Clinic (WIRC). Responsibilities include coordinating new referrals patients throughout UI Health Care.This position completes forms, analyzes Worker's Compensation data, scheduling requests deals with insurance-related issues, and EPIC issues and processes.Works closely with WIRC team and faculty/staff throughout the Orthopedic Department to provide world class care and access for Workers' Compensation patients.

Duties to include:



  • Daily point person assisting patients and case managers with appropriate and necessary paperwork. Assist patients with Work Comp Authorization for Release of Information and new referral paperwork. Schedules initial appointments for patients coordinating with Physician and other care provider's schedules.
  • Customer service responsibilities including being primary contact person for incoming telephone calls on WIRC phone line. Triage and redirect phone calls. Responsible for forwarding phone calls, medical questions and requests for information and prescriptions to nursing personnel. Route requests for insurance and billing questions, to appropriate personnel.Route requests for pre-authorizations, medical letters, and records reviews, to appropriate personnel. Complete requests for information and scheduling needs. Recognize and resolves problems.
  • Monitors shared Outlook email inbox and fax in box. Print off or scan in faxes to patient chart. Print off and provide faxed information to the doctor for patient's next visit. Provide documentation for and answer questions from patient Case Managers.
  • Provide information to potential referring providers and patients regarding clinic referral process. Assist in compiling the necessary records for the referral process. Examines, evaluates, and verifies documents for completion. Prepares and compiles and maintains appropriate files.
  • Reviews inquiries and provides information regarding policies and procedures requiring knowledge of both assigned and related work areas. Composes correspondence in response to routine inquires. Initiates and processes standardized forms related to area of assignment, including consents.
  • May assist with any performance improvement initiatives
  • Composes non-routine correspondence requiring judgment in the application of policies and procedures in both the assigned and related work areas.
  • Periodic coverage of clinic operations support which includes patient check-out in clinic.

Qualifications - External

Required Qualifications:



  • Bachelor's degreeor equivalent combination of education and experience is required.
  • 1 year of administrative experience.
  • Experience with data collection and dedicated attention to details.
  • Experience maintaining records and/or databases.
  • Knowledge of basic office routines and functions sufficient to refer visitors and telephone calls and to route correspondences by name and functional area.
  • Excellent written and verbal communication skills.
  • Excellent customer service skills.
  • Ability to organize and prioritize multiple taskson time and maintains quality standards.
  • Experience working with Microsoft Office programs.


Desired Qualifications:



  • Knowledge of institutional and policies, processes, and forms.
  • Experience with Epic
  • Ability to make decisions requiring interpretation and judgment
  • Working knowledge of orthopedic diagnoses, procedures, and testing.
