DEPARTMENT OVERVIEW

The Colleges, Housing and Educational Services (CHES) is a multi-funded organization of the Division of Student Affairs and Success (DSAS) at UC Santa Cruz. CHES provides leadership in the areas of college student life and residential services, housing services and facilities, capital planning, business and financial analysis, dining services, conference services, and early education services. Through these units educational and developmental programs and services are offered to all members of the campus community including students, faculty, staff, children and external constituents. JOB SUMMARY

Under the general supervision of the Dining Systems Manager, the Dining Retail Systems Analyst provides primary operating support for the FoodPro production system, a full service software application addressing all functional areas of the food service business including forecasting, pre-costing, menu planning, food purchasing, production and inventory control, catering, nutritive analysis, point-of-sale interface, post cost reporting and financial analysis.

In coordination with the Systems Manager, will ensure the accurate maintenance of the system database files. Will Wworks closely with the operations managers to ensure accurate pre, post and actual cost reporting. The position coordinates with the Systems Manager on any upgrades and new features requests as well as implementation processes. In the absence of the Dining Systems Manager, this position will provide support and direction to the System Coordinator(s) and multiple students assistant(s).

APPOINTMENT INFORMATION

Budgeted Salary: $36.00 - $39.75/ hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

65% - Systems Support and Management

  • In coordination with the Dining Systems Manager, the Retail Systems Analyst will have oversight of inventory, recipe, and menu input, as well as perform cost analysis for Retail, Catering and Hospitality operations.
  • Ensures that the following Food Service Management system tasks are performed in an accurate and timely manner;
    • Forecasting
    • Inventory Maintenance and Analysis
    • Food Cost Reports
    • Recipe and Nutritional Analysis
    • Oversight of Weekly Production Runs
    • Operating Calendar Maintenance
    • Provide response to reports of Food Service Management system problems
  • Works with the Systems Manager will coordinate annual upgrades to the Food Service Management System and will assist in evaluating new system features or upgrades for possible implementation, interfacing with vendors as needed. Performs system beta testing and coordinate and validate system implementations.
  • Assumes primary responsibility for Retail and Hospitality Point of Sale (POS) programming including menu items, screens structure, cashier and employee access, tenders, system interfaces and overall system maintenance.
  • Provides systems maintenance during periodic system upgrades and performs financial budgets for equipment replacement and pricing changes. performs needed maintenance on the Operations System, as well as hardware and systems peripherals including local printers, kitchen printers, scanners, and other equipment. observe and complete PCI compliance questionnaire protocols.
  • Provides on call support and troubleshooting on POS system failures as well as for cash handling and POS sales/deposit issues. Will work with the Systems Manager on credit card security issues and ensure compliance with IT Governance and Regulatory programs.
  • Provides development, designing and database interface support for digital menu boards. Support will include unit and ITS coordination, hardware specs, purchases, hardware deployment, implementation, staff training/support, as well as overall system support.
  • Works with the Systems Manager on the maintenance, replacement or disposal of UCSC Dining electronics including computers, monitors and printers.
  • In coordination with the Systems Manager, will monitor and maintain UCSC Dining door lock systems and periodic staff/vendors access privileges to ensure departmental access security protocols.
  • Supports UCSC Dining services with continuous educated research on industry best practices to develop and absorb additional systems to increase departmental efficiencies and streamline processes.

25% - Financial Reporting and Analysis

  • Prepare various detailed and analytical reports for Dining management on an on-going basis including reports related to customer counts, financial expenditures, food trends, as well as food cost projection reports based on menu enhancements, patron count shifts and strategic food cost and sustainability initiatives. Reporting will include academic and summer conference menus.
  • Prepares weekly food cost reports and performs menu cost analysis, including detailed analysis on menu pre-cost and post-cost amounts. Will make change recommendations to the Systems Manager as appropriate, as well as identify and analyze trends. maintains a record of historic department transactions and purchasing requests.
  • Additionally the Retail Systems Analyst will perform data analysis and prepare product mix reports to support the quarterly menu review process.
  • In collaboration with the Systems Manager, will coordinate with ITS to establish, maintain, and or troubleshoot the automated POS & PAC reporting structures, as well as the manual Food Service Management system. Will develop detailed systems documentation.

5% - Research and Development\

  • The Retail Systems Analyst will provide analysis and justification for any proposed system upgrades. Analysis to include funding, location and sequencing plans. investigates alternative upgrade options.
  • Provide analysis on developments in the food service management industry and keep up to date on future system developments and enhancements, Keep current on latest developed best practices and may attend FSMS Annual Conferences as appropriate.
  • Conduct surveys and studies of similar systems at other UC Campuses, as well as other universities.

5% - Staff Training

  • Manages training on the Food Service Management System. provide training to end users, including dining managers, administrative staff, and student workers.
  • Coordinates and conducts one on one training as well as group training sessions.
  • Works closely with Dining Managers as well as the Executive Chef to ensure appropriate understanding for system features.

REQUIRED QUALIFICATIONS

  • Demonstrated ability to analyze complex information, problems, and processes in an objective manner and formulate conclusions to provide a sound basis for establishing priorities, select appropriate courses of action and make recommendations.
  • Demonstrated experience in using a variety of computer systems and software, including extensive knowledge and use of MS Office Programs (Word, Excel, and PowerPoint), FileMaker Pro, Google suite, email, and Internet. Proficient in Spreadsheets.
  • Working knowledge of accounting principles and financial record keeping procedures sufficient to monitor budgets, authorize expenditures and recommend budget priorities.
  • Demonstrated skill and knowledge in data collection/verification to ensure the accuracy of the reports generated from systems.
  • Demonstrated ability to pay close attention to detail, analyze data, evaluate programs and procedures and interpret information in order to convey consequences and recommend courses of action.
  • Excellent organizational skills with the ability to independently set priorities, systematically and maintain materials and information, optimize efficiency and minimize duplication of effort, coordinate and complete a number of competing assignments within established deadlines.
  • Ability to collaborate on complex system specifications to meet user requirements, including the ability to validate requirements against user needs.
  • Excellent interpersonal skills to maintain good working relationships with a diverse group of people. Ability to work with and communicate effectively verbally and in writing with colleagues in discussing improvements, solving problems and implementing solutions.
  • Ability to utilize appropriate technical vocabulary and grammar to obtain and convey information accurately to vendors, consultants, Information Technology, and Dining managers and staff.

PREFERRED QUALIFICATIONS

  • Working knowledge of Point of Sales (POS) Systems and/or magnetic card systems.
  • Experience or knowledge of university dining and housing operations or higher education funding processes.
  • Hospitality related experience.
