Title of Position: Space and Occupancy Coordinator - Endwell, NY

Position Type: Full-Time. Typical shifts include Monday through Friday 8:00AM to 5:00PM.

Compensation: $28.00/hr. - $36.50/hr. *Hiring rates may be dependent on a number of factors, including years of directly related work experience, education, geographic location or special skills*

Location: On-site at our Headquarters in Endwell, NY.

Responsibilities/Duties:



  • Assist in the development and implementation of space planning workflows and process.
  • Conduct space audits and verify usage across all facilities.
  • Participate in meetings to report space related requirements and issues.
  • Oversee facility space and personnel assignments, move requests, and workflow authorizations.
  • Identify opportunities to improve/enhance workspace planning and management operations.
  • Maintain accurate and up-to-date FF&E inventory, including cost and depreciation values.
  • Oversee FF&E assignments, requests, and workflow authorizations.
  • Support ergonomics, reasonable accommodations, and ADA requirements related to FF&E.
  • Work with manager to review all space and FF&E contracts, project schedules, and quality control.
  • Support internal and external project meetings to report FF&E status, report occupancy-related issues, challenges, and opportunities to improve processes.
  • Support new spaces and building renovations to ensure strict adherence to safety and quality standards.
  • Generate reports and dashboards to support decision-making.
  • Maintain accurate and up-to-date inventory and space assignments of all facilities workspaces.
  • Monitor trends, identify opportunities, and make recommendations to improve/enhance workspace planning and management operations.
  • Prepare analytics and reporting on FF&E inventory and associated work, as assigned.
  • Support annual planning and ongoing tracking of space, occupancy, and FF&E costs and budgets.
  • Process invoices, as needed.
  • Oversee assigned vendors, contracts, installations, quality assurance, and make ongoing recommendations for cost savings and value-added contributions.
  • Maintain consistency with corporate design and branding standards.
  • Ensure all layouts comply with health, safety, and accessibility regulations.

Minimum Qualifications & Experience:



  • An associate degree required with 1-3 years of experience; 3 to 5 years of relevant experience may be considered in lieu of a degree.
  • Specialized knowledge of space management is required.
  • Proficient with standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines, PCs, etc.
  • Proficient in the Microsoft Office Suite programs.

Preferred Qualifications & Experience:



  • Bachelor's degree.
  • Background in Architecture, Interior Design, Facilities Management, Space Management, and/or FF&E Management preferred.
  • Understanding of building codes and workplace safety standards.
