REPORTS TO: Director of Parts and Service

FUNCTION: Coordinate and facilitate aspects of service customer orders including, service quotes, parts quotes, order entry, service dispatch, service billings, contract status, project management, technical support, material shipments, and customer service.

ESSENTIAL RESPONSIBILITIES:

  • Enter and process incoming orders in accordance with all current company policies and procedures. Serve as initial dispatcher of service work orders.
  • Coordinate various service projects and contracts. Work closely with Service Personnel and Customers to assist with project management, scheduling and dispatch, material entry and shipments, plant compliance, and general customer service. Communicate regularly with customer and service personnel to ensure on time delivery of service.
  • Provide inside sales support and project management activities for the service teams
  • Develop long-lasting customer relationships that lead to follow-up sales.
  • Secure customer feedback on performed services
  • Answer customer service telephone calls and assist caller, direct calls, or take messages, as appropriate. Respond to inquiries regarding price, availability, and type of equipment.
  • Work in ERP and CRM tools for quoting, booking, and dispatching related to service projects and contracts. Maintain various service scheduling, sales, projects, and contracts tracking spreadsheets &/or dashboards.
  • Assist with contract renewal process and generating new service contract proposals. Complete parts quotes and technical customer service in accordance with product support policies and procedures.
  • Maintain and enter data into various customer supplier management platforms (e.g. ISN, Veriforce, Avetta, etc.)
  • Perform such other duties as may be assigned by supervisor.

JOB SPECIFICATIONS:

  1. Education:
    1. High school diploma or equivalent.
    2. Two years college or technical school preferred.
    3. College or technical school courses including office practices, computer classes, exporting, and math.
  1. Experience: Minimum 3 years office experience, preferably in a technical sales department of a manufacturing company.
  1. Skills, Knowledge & Other Requirements

    2. Positive attitude toward Company, supervision, and fellow employees; demonstrates Ownership Mentality.
    3. Aptitude and/or interest in mechanical skills, and ability to learn technical aspects of Sentry products.
    4. Cooperative attitude; ability to function effectively as a team member
    5. Positive attitude, tact and diplomacy when dealing with customers (internal/external).
    6. Excellent communication skills, written and oral, telephone and customer service.
      1. Pleasant telephone voice and manner.
        1. Computer proficiency with Microsoft Office, ERP and CRM programs.
        2. Dependability.
          1. Good mathematical skills; excellent spelling, grammar and writing skills.
          2. Detail oriented; attention to detail; accuracy.
            1. Highly organized with strong attention to detail; able to establish priorities, handle multiple tasks and meet deadlines.
              1. Knowledge of exporting regulations and procedures.
