Job Summary:

The Medical Staff Coordinator provides support services for assigned Medical Staff leaders, committees and assigned projects. This position acts as a liaison between the Medical Staff, hospital/health system management/administration and other internal/external parties. The Coordinator is responsible for meeting coordination, participation in the development of limited Medical Staff on-call schedules and serving as a resource on Medical Staff Bylaws and other rules & regulations that govern the Medical Staff.

Essential Functions & Responsibilities:

  • Performs support functions including routine clerical and administrative duties.
  • Monitors and maintains levels of office supplies which include processing vouchers and requisitions.
  • Provides on-site and virtual meeting coordination including: scheduling, room set up, catering, agenda preparation, audio-visuals including equipment set-up and troubleshooting
  • Assists the Chair with meeting management; records attendance; prepares minutes and conducts follow-up to promote timely operations improvement and communication.
  • Manages assigned Physician leaders' daily appointment calendar, schedules, correspondence (including e-mails) and coordinates meetings which may include conference registrations, and travel arrangements.
  • Independently composes correspondence and reports based on knowledge of project status.
  • Maintains awareness of issues impacting the Medical Staff initiating research and preparation of material for the Physician leaders' use in discussions and meetings. Coordinates Medical Staff onboarding activities including orientation and tours.
  • Prepares Medical Staff on-call schedules ensuring that schedules are provided to affected physicians and appropriate internal departments including Health Link/Communications.
  • Prepares appropriate Medical Staff payments which may include; call coverage payments, leadership stipends, and contractual service payments.
  • Independently manages assigned projects with minimal direction and supervision.
  • Participates in Medical Staff communication initiatives including preparation and distribution of material to facilitate Medical Staff knowledge pertaining to Medical Staff, hospital, and health system operations.
  • Facilitates communication between Medical Staff and Medical Support Services Associates supporting credentialing, continuing medical education and peer review.
  • Provides support for Medical Staff and department projects as assigned.
  • Serves as the Administrative Assistant for the Stafford Hospital Senior Medical Director and provides administrative support to hospital departments based on needs of the facility (Stafford Hospital position only).
  • Performs other duties as assigned.

Qualifications:

  • High School diploma required.
  • Some college preferred.
  • Two (2) years' work experience as an Administrative Assistant required; Executive Assistant level experience strongly preferred.
  • Prior work experience in health care and medical terminology preferred.
  • Intermediate to advanced skills in office information systems required.
  • Experience with Microsoft applications and e-mail, calendar, databases, and internet searches preferred.
  • Typing speed of 65 wpm with high degree of accuracy preferred.
  • Prior experience recording meeting minutes preferred.
  • Experience with medical terminology preferred.
  • Requires strong organizational, time management, and communication (verbal and written) skills.
