Summary
Under the supervision of the CFO, provides administrative support and project facilitation to assist in achieving strategic goals set forth. Job Roles
- Manages/coordinates the projects, calendars, and associated meetings of the executive leader(s) the employee is assigned to.
- Assists in conducting managerial and organizational reviews and studies, as requested.
- Assists in the development and implementation of systems for managerial effectiveness and process improvement by communicating policy clarification and providing technical assistance.
- Coordinates and attends meetings related to projects and process improvement. Develops systems to track follow-up and outcomes.
- Creates and manages automated project tracking systems, information systems and other systems and processes to improve departmental and organizational effectiveness; works cooperatively with others in process analysis and improvement.
- Ensures directives of Senior Leadership are effectively communicated to managers and support staff, as needed.
- Maintains files of correspondence and related materials to include all administrative-related functions for Senior Leadership.
- Responsible for the organization and tracking of all projects.
- Performs other duties as assigned.
Education/Certifications/Licenses/Registrations
- Bachelor's degree in Business Administration, Healthcare Administration, Political Science, or related field required.
- Or equivalent combination of education and experience that provides the skills, knowledge, and ability to perform the essential job duties, and which meets any required state or federal certification requirements.
- Traveling between sites and other locations is occasionally required. Must have a valid California driver's license, an automobile, and proof of minimum levels of car insurance as required under California law, although limits of $100,000 are recommended. An acceptable driving record is also required. California law requires all drivers to obtain a valid California driver's license within ten days of establishing residency. Reasonable accommodation may be provided on a case-by-case basis. Mileage and other reimbursement governed by policy.
Experience/Specialized skills (including Language)
- 5 years of experience as an Administrative Assistant, Personal Secretary or Executive Assistant in the healthcare field.
- Background in process management a plus.
- Demonstrated track record of managing complex projects.
- Healthcare background is required.
- Or equivalent combination of education and experience that provides the skills, knowledge and ability to perform the essential job duties, and which meets any required state or federal certification requirements.
Experience/Specialized skills (including Language)
- Ability to understand concepts and bring projects to life.
- Ability to work at a high level across entire agency. Must possess excellent organizational skills.
- Bilingual (English/Spanish) preferred.
- Excellent communication skills/Spanish language a plus.
- Must have excellent grammar, spelling and punctuation skills.
- Excellent computer skills. Must be highly versatile with and possess proficiency in Microsoft Office and must type a minimum of 65 WPM.
- Multi-tasking and self-starter skills a must.
- Skilled in dictation/transcription and composition a plus.

If you are hired at Family Health Centers of San Diego, your final base salary compensation will be determined based on factors such as geographic location, jurisdictional requirements, skills, education, and/or experience. In addition to these factors - we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is what we reasonably expect to pay for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.
