We are seeking a proactive and highly organized Legal Administrative Assistant (LAA) to join our collaborative administrative team. This role is integral to supporting lawyers in delivering top-tier service to clients, and works within a team of 2-3 LAAs. The ideal candidate will bring strong administrative experience, attention to detail, and the ability to manage multiple priorities in a fast-paced, professional environment.

Responsibilities

  • Provide high-level administrative and legal support to assigned attorneys in a shared LAA team structure.
  • Coordinate office procedures and ensure an efficient workflow while upholding firm policies and promoting a collaborative, team-oriented work environment.
  • Offer coverage for team members and support overflow work as needed; work cooperatively in shared workspaces and maintain accessibility to attorneys and colleagues.
  • Mentor and provide guidance to team members, sharing best practices and offering support with firm policies and procedures.
  • Schedule meetings, reserve conference rooms, and coordinate logistics including audiovisual and catering needs through reservation system.
  • Arrange domestic and international travel, prepare detailed itineraries, process reimbursements, and manage attorney calendars.
  • Answer calls, manage visitor intake, and communicate effectively with clients and internal stakeholders.
  • Draft, revise, and proofread correspondence, memos, legal documents, and reports with accuracy and timeliness.
  • Maintain electronic and physical files using iManage and the firm's Records Management System; organize documents for storage and retrieval.
  • Enter attorney time daily in Intapp Time, review for accuracy, and process billing in accordance with client requirements.
  • Assist with New Business Matters, maintain client/matter codes, and follow through on billing processes.
  • Maintain up-to-date lawyer preference documents to ensure tailored support.
  • Notify LAA Administration and Floor Coordinator of daily attendance and availability for additional assignments.
  • Coordinate PTO with team members and follow firm procedures for approval and time tracking.
  • Participate in the firm's Legal Administrative Assistants Certification Program.
  • Support the department with other duties as assigned to ensure operational efficiency.
  • Handle all firm and client information with the utmost confidentiality, discretion, and professionalism.
