DESCRIPTION OF WORK

In this position, you will be responsible for sourcing materials and services for the organization while complying with applicable Commonwealth and Department policies regarding bid preparation and processes. Your duties will include overseeing bid submissions, conducting bid openings, and summarizing the bids received. You will also ensure that the selected bidder meets the requirements of the Contractor Responsibility Program, confirming there are no unresolved obligations or performance issues. The role encompasses various purchasing tasks, such as drafting bid documents, evaluating and awarding bids, and preparing contracts and purchase orders in line with Commonwealth purchasing regulations. Effective communication with stakeholders, including requisitioners, vendors, and fiscal staff, is crucial. Furthermore, you will be tasked with securing all necessary approvals prior to order placement and utilizing SAP systems for procurement. Additionally, you will monitor contract validity, assess vendor performance, and complete the closeout of purchase orders, ensuring timely invoice reconciliation and adherence to Purchasing Card regulations.

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 7:00 AM to 3:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Three years of experience in purchasing work involving contact with vendors in the procurement of a variety of supplies, materials, equipment, or services; or
  • Three years of experience in requisitioning, receiving, storing, distributing, and maintaining inventory of goods; or
  • An equivalent combination of experience and training. Post-high school education may be substituted on a year-for-year basis for purchasing or stores experience to a maximum of two years.
