Coordinator, Provider Experience

Job Summary:


The Provider Experience Coordinator is a critical member of the HR team and is responsible for supporting ArchWell Health's providers as they transition through the colleague life cycle. This role requires strong attention to detail, time management skills, and the ability to provide best in class customer service to providers and internal stakeholders. This role is integral to executing provider processes for a rapidly scaling multi-state medical group, with opportunity to learn and grow in a rapidly changing environment.


Duties/Responsibilities:



  • Execute provider onboarding and offboarding processes, ensuring accountability for delivery from cross-functional stakeholders and accurately tracking completion
  • Maintain the centralized system of record for tracking various workstreams involved in the provider onboarding and offboarding processes
  • Facilitate the full onboarding process, ensuring all activities are completed according to timelines while maintaining a white glove experience for providers
  • Support process improvement and automation opportunities in alignment with provider talent strategy objectives
  • Prepare, maintain, and distribute accurate reporting to provider leaders and internal teams across all markets, including CME balances, time tracking, and other initiatives
  • Partner with HR leadership to support projects aimed to increase job enrichment and retention
  • Assist with maintenance of documents and provider employment records pertaining to the employee life cycle
  • Coordinate onboarding schedules, and the ordering of lab coats, business cards, and other provider onboarding materials to create a white glove experience as providers enter the organization
  • Partner with HR Operations and Training teams to schedule training, ensure providers are assigned the correct training modules, and track their completion during the onboarding process
  • Serve as first point of contact for provider inquiries, particularly related to onboarding, offboarding, and HR-related questions
  • Draft and distribute relevant resources to support ongoing provider questions, activities, benefits, and initiatives
  • Provide coordination and tactical support for Nashville-based events supporting colleagues across ArchWell Health as needed
  • Additional projects as assigned


Required Skills/Abilities:



  • Strong process orientation, organizational skills, and attention to detail
  • Demonstrated comfort with data, including ability to run reports, understand, and manipulate data in Excel
  • Excellent interpersonal and communication skills, with a strong customer service orientation and ability to correspond professionally in a colleague-facing role
  • Ability to execute and deliver results in accordance with department standards, including communicating status and escalating risks
  • Flexible, "find a way" mindset to achieve deadlines while maintaining a positive attitude
  • Self-motivated with excellent verbal and written communication skills with all levels of leadership
  • Ability to lift 20 pounds and assist with set-up of events as needed
  • Proficient with Microsoft Office Suite (Excel, PowerPoint, Word)


Education and Experience:



  • Bachelor's Degree required
  • Minimum of one year (1) of project management, program coordination or similar required; internships will be considered in lieu of full-time experience
  • Experience coordinating with cross-functional stakeholders and reporting out on deadlines
  • Experience coordinating complex calendars and schedules under a tight timeline
  • Experience in a customer service environment strongly preferred
