General Responsibilities
Provide general administrative and clerical support to the Vice President of Administration and Finance and the Associate Vice President of Campus Operations. Interacts and coordinates with the Executive Assistant on the completion of various projects and administrative duties. Acts as assistant to the Vice President of Administration and Finance during the Executive Assistant's absence.
Work Performed
Acts as initial contact for the senior administration reception area and directs visitors to the appropriate department. Provides receptionist duties and customer service to students, staff and constituents. Answers incoming calls, receives and greets visitors.
Responds to inquiries, including in-person, telephone, e-mail, and voicemail.
Receives, sorts, and disseminates incoming mail. Prepares outgoing mail for dispatch. Maintains document tracking of materials requiring signature of Vice President of Administration and Finance.
Updates and reconciles the Vice President's electronic calendar. Prints daily and weekly calendars.
Coordinates projects and special events as assigned by the Associate Vice President of Campus Operations including researching and preparing information for special projects such as public safety awareness, crime stats reporting, furniture orders and repairs; sustainability, safety, emergency operations, insurance and risk management items.
Produces correspondence, memos, reports, forms, and other documents as needed.
Maintains office records, spreadsheets and performs filing as well as copies and faxes correspondence.
Coordinates needs for meetings and conferences to include room reservations, set-up, refreshments, audio-visual equipment, housekeeping, public safety, parking and other materials as requested.
Trains and updates staff on reception area responsibilities and procedures.
Primary liaison for inventory control within the senior administration office. Trains and updates staff on inventory procedures as needed.
Secures entrances to complex at the beginning and end of the workday.
Monitors senior administration kitchen and maintains inventory of kitchen supplies.
Prepares purchase requests, orders and inventories office supplies, equipment, and special supplies. Maintains electronic tracking of orders and reconciles orders with invoices.
Provide administrative support for committees chaired by Associate Vice President of Campus Operations including preparing minutes, updating manuals, maintaining distribution lists, and dissemination of information.
Assists executive assistant of VPAF as needed.
Performs other duties as assigned.
Minimum Education Required High School or equivalent
Minimum Number of Years Experience Required 3
Other Knowledge Required
High school diploma or equivalent, A.A. degree preferred.
Minimum of three years of office-related work experience of approved combination of experience and education.
Working knowledge of Microsoft Word, Excel, Access, Outlook, and PowerPoint.
Ability to operate routine office equipment such as multi-line telephone system, computer, copier, scanner, and/or other office equipment and office technology.
Ability to use own initiative to locate and resolve problems.
Ability to edit own work and proofread correspondence.
Good working of all basic language skills; i.e., spelling, punctuation, grammar, and business English.
Ability to interact effectively with others to determine needs and support requirements.
OTHER REQUIREMENTS
Ability to maintain strict confidentiality.
Ability to follow oral and written instructions.
Ability to communicate effectively, both verbally and in writing.
Regular attendance is a requirement of this job.
Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
Working Conditions
Position requires coordination with internal and external constituents. Overtime may be required during peak periods - fast paced, busy, and deadline driven environment.

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
