JOB SUMMARY We are seeking a highly organized, detail-oriented, and proactive Business Development Executive Assistant to support our Business Development capture team. This role combines executive administrative support with hands-on coordination of business development activities, ensuring our Capture Executives can focus on strategy, growth, and client engagement. The ideal candidate thrives in a fast-paced environment, manages multiple priorities with ease, and demonstrates strong communication and coordination skills. Executive & Administrative Support
- Schedule meetings, coordinate demos, ensure facility access and availability, and coordinate travel.
- Prepare and disseminate agendas, presentations, and materials for internal and external meetings.
- Draft, edit, and proofread correspondence and assist with follow-ups.
- Capture notes, data, and actions from meetings within the appropriate templates.
Business Development Coordination & Support
- Familiar with Federal Government opportunities, organizations, and contracting.
- Conduct research on prospects, industries, competitors, and market trends.
- Create capability matrices and coordinate inputs from internal staff and external partners.
- Support preparation of informational papers in response to Government or partner requests.
- Maintain and update CRM systems to track leads, opportunities, and pipeline activity.
- Use CRM to collect and provide data for business development metrics, including pipeline health, win/loss data, and client engagement.
Event Support
- Assist in the planning and execution of conferences, trade shows, networking events, demonstrations, customer meetings, and other Business Development events.
- Coordinate with marketing and graphics team for necessary flyers, images, videos, etc.
- Manage timelines and track progress to ensure necessary preparation is complete prior to events.
Information & Document Management
- Maintain organized records of tracked opportunities and customer engagements.
- Create and update standardized templates for presentations and capture information.
- Safeguard sensitive business and client information with the highest level of confidentiality.
Specific Skills
- Strong organizational and time-management skills; ability to handle multiple priorities.
- Excellent written and verbal communication skills with attention to detail.
- Familiarity with federal government solicitations and RFP processes.
- Meeting planning and coordination experience.
- Proficiency in Microsoft Teams, SharePoint, and Office Suite (Word, PowerPoint, Excel, Outlook); experience with CRM systems preferred.
- Ability to work independently and collaboratively in a fast-paced environment.
- Professional presence with strong interpersonal skills.

- Bachelor's degree in Business, Communications, Marketing, or related field preferred.
- 3+ years of experience as an executive assistant, business development coordinator, or similar role.
