Description The Mail Room Registry Lead is responsible for managing the secure handling, tracking, and distribution of classified and sensitive mail within the organization. This position ensures strict adherence to security protocols, proper record-keeping, and compliance with all regulatory standards. The Lead will supervise mailroom staff, coordinate with security personnel, and maintain the integrity of classified material handling procedures. This role requires a strong understanding of mailroom operations in secure environments, excellent organizational skills, and the ability to lead a team while ensuring compliance with all confidentiality and handling regulations. Primary Responsibilities:
- Supervise daily operations of the classified mailroom, including secure receipt, sorting, logging, and distribution of sensitive materials.
- Maintain detailed and accurate logs of all incoming and outgoing classified correspondence.
- Ensure compliance with organizational security policies, confidentiality agreements, and applicable federal regulations.
- Train and lead mailroom staff on procedures for handling classified and sensitive materials.
- Coordinate with internal departments and security personnel to ensure the secure delivery and receipt of all classified communications.
- Monitor and maintain inventory of secure containers, packaging supplies, and mailroom equipment.
- Conduct regular audits to verify compliance with mailroom procedures and security protocols.
- Investigate and resolve issues related to delayed, misplaced, or potentially compromised mail.
- Enforce security measures and ensure staff compliance with confidentiality and handling standards.
- Prepare periodic reports detailing mailroom activity, security incidents, and compliance audits.
Basic Qualifications
- TS/SCI with CI Poly
- High school diploma or equivalent.
- Experience in mailroom operations, particularly handling classified or sensitive materials.
- Strong knowledge of security procedures and confidentiality protocols.
- Excellent organizational and record-keeping skills.
- Leadership experience with the ability to supervise and train staff.
- Strong attention to detail and problem-solving capabilities.
- Effective verbal and written communication skills.
- Ability to manage sensitive information with integrity and discretion.
- Proficiency in using Microsoft Office Suite and digital logging systems.
Preferred Qualifications
- Bachelor's degree in logistics, records management, public administration, or related field.
- Certifications in records or logistics management (e.g., Certified Records Manager).
- 5+ years of relevant experience in classified mail handling or secure facility operations.
- Previous experience in a federal agency, military, or intelligence community environment.
- Demonstrated ability to conduct audits and implement corrective actions.
- Excellent attention to detail and ability to work effectively under pressure.
