Hours:

Monday - Friday: 8AM-5PM

(Additional hours as necessary to meet the objectives of the department)

Function:

Performs various administrative, tracking, and communications related duties to support the marketing department and all related personnel.

Duties and Responsibilities:
1. Front line representative on behalf of the Marketing Department in interactions with customers, employees, vendors and others who call on the bank on a daily basis.

2. Responsible for administrative duties supporting the Marketing department including, but not limited to: making meeting arrangements, answering department phones, ordering supplies, filing, and setting up appointments, distributing marketing materials, etc.

3. Supports the Director of Sales Strategy and Transformation and the Director of Digital, Brand, and Customer experience with management of calendar, coordination of travel arrangements, meetings, expense sheets and other administrative support as needed.

4. Responsible for the department invoice/billing system including processing and reviewing department invoices with product managers, presenting completed invoices with appropriate supporting documents to department manager, data entry and reporting on expenses to date, maintenance of an expense journal, and accrual tracking.

5. Responsible for maintaining the privacy opt out spreadsheet. Must research and log returned privacy opt out notices in compliance with bank procedures.

6. Responsible for preparation of departmental meetings and marketing special events which may include: database development, invitation mailing, premium/supply orders, menu planning, obtains estimates and quotes for food and/or venues. Attends events, when needed, to provide event support.

7. Responsible for updating and posting the Marketing Tools communication monthly to ensure employees have record of marketing initiatives and materials.

8. Serves as the department disaster recovery coordinator. Participates in update calls and distributes information to the department. Participates in evacuation drills as a representative from marketing.

9. Prepares, types, and sends letters, memos, requisitions, charts, notices, meeting minutes, etc.

10. Receives, screens, and distributes mail and internal correspondence for the department in a timely manner.

11. As directed, maintains and updates competitive files, spreadsheets and reports.

12. Controls the distribution of department equipment. Maintains log and is responsible for return and maintenance of items. Oversees and troubleshoots office equipment and places department work orders.

13. Responsible for maintaining department procedure records to ensure the procedures are documented and up-to-date. Assembles requested procedures for exams and audits.

14. Maintains orders, organizes, and distributes departmental supply including promotional item inventory and distribution, signage, and trade show materials,

15. Partners with department personnel on projects as needed to provide additional support for execution and completion.

16. Maintains a good working relationship with bank employees. Demonstrates strong interpersonal skills with the ability to work independently, as well as motivated to work as a team player to contribute to the success of the department and in turn, the organization.

17. Functions as liaison with branch and internal staff to facilitate the resolution of marketing related inquiries and issues.

18. Performs additional duties as required.

Education:

Requires a high school diploma or equivalent basic academic education, additional education preferred.

Experience:

Requires five to ten years general business experience in conjunction with two to five years administrative experience including banking, marketing and/or another specialized field.

Physical Demands:
Operates a keypad device: 75% of the day; operates office equipment: 10% of the day; opens mail, runs errands: 15% of the day. The primary parts of the body involved in performing these tasks are the fingers, thumbs, hands, wrists, elbows, legs, lower and upper torso and feet.. Walking is required up to two hours per day which is slow in speed. Routinely lifts up to 30 lbs. Maximum lift is 50 lbs. Performs daily tasks with the use of manual dexterity skills for both typing and filing on frequent basis up to 60% of the business day. Must be able to focus visually at a close distance of 18"-20" for a period of up to 40% of the business day.
