POSITION SUMMARY: First line of support for customer operations, being responsible for providing production updates, loading information and be liaison between customer operations and Lhoist operations and performance teams. Responsible for preparing rail weigh tickets, all shipping and routing information, and shipping schedule. Responsible for alerting customers of delays in rail shipments, ordering rail cars and notifying railroad of bad order rail cars, Entering Scheduling agreements and orders in SAP, generate truck loading dispatches for bag plants, Posting invoices for customer shipments and sending and receive E-mail as needed. Visiting customer locations to build relationships along with sales manager as required.

RESPONSIBILITIES & EXPECTATIONS:

Orders

  • Verify that product specification exists for all accepted orders.
  • Post & update changes to customer orders and shipment dates.
  • Generate and distribute product order forms.
  • Confirm order acceptance and troubleshooting with customer as necessary.

Reporting

  • Send Notifications to customers regarding shipments & weights.
  • Prepare railroad bill of ladings.
  • Notify the railroad of all shipment and routing information.
  • Maintain truck and rail scale calibration receipts.
  • Maintain certification for the truck and rail scale.
  • Post invoices on accounts.
  • Produce the daily tonnage report.
  • Weekly customer activity report to sales manager

Liaison with Plants/ terminals regarding sizing, tonnage, additions, and deletions of product shipments to maintain current inventory information.

  • Proactively settle issues before impact to the customer using logical and creative problem solving skills
  • Aligns course of action with designated Sales Manager if customer impacted

Be involved in total quality process and continuous improvement of customer confidence by knowing the customer's demands fo sizing, quality and quantity in relationship to inventory.

  • Prepare weekly and monthly customer demand forecast accordingly.
  • Weekly follow up with customers that are operating at lower-than-expected volumes
  • Complete daily audit trail function to ensure an accurate record of shipped material, prepare daily/ weekly operation reports.
  • Liaison as a first responder to quality and logistic issues

Safety

  • Attend safety meetings
  • Enforce all company, local, state and federal safety policies and procedures
  • Maintain Company and Federal House Keeping Standards.

Training

  • Provide on-the-job training, as assigned.
  • Verify on-the-job training, as assigned.

Back-up

  • To be backed-up by Office manager.

Perform other duties as assigned.

  • Knowledge of SAP, CRM, SRM, VIM, Microsoft Office, background experience with work processing, document control, administration, preparation of spreadsheets, graphs and charts and presentation skills.
  • Ability to reach deadlines and multi-task.
  • Advanced spelling and grammar skills, as well as phone skills and organizational skills.

PHYSICAL DEMANDS INCLUDE, BUT ARE NOT LIMITED TO:

  • Access all areas within a site which could include heights of 120 feet, confined spaces, climbing ladders or stairs, and accessing tunnels.
  • Will be working in a office environment
  • The employee will be required to perform the following actions (from time to time): Standing, walking, balancing, stooping, kneeling, reaching, talking, seeing, hearing and sitting.
  • Ability to lift over 50 pounds as needed.
  • Ability to travel up to 10% as needed to other locations.

REQUIRED EDUCATION:

  • High School Diploma, GED Equivalent. Associate degree in related field is a plus.

PREFFERED EDUCATION:

  • BA/BS degree in business administration or related field.

REQUIRED EXPERIENCE:

  • Minimum 2 years of customer service or inside sales experience, utilizing SAP or similar ERP in mining, shipping, and/or heavy manufacturing environment

PREFFERED EXPERIENCE:

  • 2-4 years previous customer service experience in a mining environment.
