Position Summary:
Under the general direction of the Chief or Manager/Director, provides overall management of the Department/Division/Program research portfolio in partnership with Principal Investigators to ensure compliance and successful completion of research activities. Performs complex pre-award and post[1]award functions for all federal and/or state grant funds, private foundation grants, subcontracts, discretionary and endowment funds, and/or any other sponsored funds. Participates in strategic planning for Department/Division/Program, including overall financial analysis and long term projections. Serves as an advisor to Principal Investigators regarding proposal and budget preparation, interpretation of sponsor guidelines and regulations, and problem resolution. Manages and oversees the grant application process, ensuring overall compliance and timely submission. May assist in budget development. Establishes departmental policies, systems and procedures to monitor research purchases and day-to[1]day spending. Performs financial analysis on grants including but not limited to forecasting and communicating results to Principal Investigators. May oversee departmental administration of effort classification and reporting, as well as ensure timely submission of completed effort reports. Collaborates with Department Administrator and appropriate Boston Children's central administration offices to represent the needs of the Research Faculty. This position has signature authority on restricted funds. Mentors, coaches and trains Research Administrators at all levels. Directly supervises at least two staff members.
Key Responsibilities:
  • Advises division manager and division leadership on upcoming gaps in funding and presents knowledgeable recommendations on balancing physician effort with supplemental clinical effort.
  • Demonstrates understanding of formulas and reasoning behind calculating research and clinical effort and how these functions make up FTE complement.
  • Works with division manager to develop SOPs around business processes and research operations.
  • Works with clinical research team to develop and implement SOPs and RACI structure for overlapping projects.
  • Develops and implements goals around research, clinical research, and program objectives.
  • Sets goals and objectives to organize program expectations. These can include productivity metrics, staffing recommendations, and enforcement of policies around metric expectations.
  • Organizes meeting agendas; attends program meetings regularly and provides clear expectations, notes, follow-up, and structure around responsible parties' tasks.
  • Provides clear deadlines and policies and procedures to program group members.
  • Manages project scopes, timelines, and reporting by establishing formal process design.
  • Offers productive process improvement suggestions to enhance efficiency and 'manage up'.
  • Develops divisional workshops, and enhances internal division communication strategies.
  • Utilizes advanced technology and software systems to improve division systems and communication.
  • Exhibits solid understanding of budgeting principles to make recommendations to long-term financial health of the division; proactively assesses future spending to ensure clear financial transparency and develops proper and timely communication strategies to ensure all parties are aligned
Minimum Qualifications
Education:
  • A Bachelor's degree is required; a Master's Degree is preferred with a focus on Business Administration and or Public Health.
Experience:
  • 7 years of research administrative experience is required.

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.
