Job Title: Practice Coordinator

Location(s): San Francisco, CA

Position Summary
The Practice Coordinator supports a high-volume specialty clinic by managing front desk and back-office administrative functions, including referrals, prior authorizations, work queues, and multi-provider scheduling. This role requires extensive hands-on Epic/APeX experience and the ability to thrive in a fast-paced, patient-facing environment.

Key Responsibilities
  • Front desk and back-office administrative support.
  • High-volume prior authorizations and referral processing.
  • Epic/APeX work queue (WQ) management.
  • Multi-provider clinic scheduling and surgery scheduling.
  • Patient communication via phone and in person.
  • Coordination with clinical teams, providers, and external facilities.
  • Pre- and post-visit administrative support as needed.
Must-Have Qualifications
  • Heavy prior authorization experience (daily, high volume).
  • Hands-on Epic/APeX experience specifically with authorizations, referrals, and work queues.
  • Specialty clinic experience (orthopedics strongly preferred; surgical, pain management, or similar specialties acceptable).
  • Experience in high-volume environments (100+ calls/day or heavy work queues).
  • Multi-provider scheduling and surgery scheduling exposure.
  • Strong communication skills, attention to detail, and proven reliability.
Nice-to-Have Qualifications
  • Experience within large health systems (e.g., UCSF, Stanford, Sutter, PAMF).
  • Imaging authorization experience (MRI, CT, X-ray).
  • Pre-operative coordination experience (labs, clearances, documentation).
Skills & Competencies
  • Highly organized with strong multitasking ability.
  • Excellent verbal and written communication skills.
  • Detail-oriented and dependable.
  • Proficient in Epic/APeX and Microsoft Office Suite.
  • Comfortable working in a fast-paced specialty clinic setting
Volume Expectations
  • Approximately 30-50 patients per day

Experience & Education Requirements
  • College degree with 6 months of relevant experience, OR
  • Minimum 2 years of healthcare administrative experience
