Why This Role Matters

The Secretary II plays a critical role in supporting the NAVFAC project by ensuring smooth day-to-day administrative operations. This position serves as a key point of contact for internal teams, government representatives, and external partners, helping maintain organization, compliance, and effective communication across the contract.

What You Will Do



  • Provide daily secretarial and administrative support to the NAVFAC project and Operations Manager.


  • Receive and screen phone calls, visitors, and correspondence, route inquiries appropriately.


  • Draft correspondence and prepare reports and departmental communications.


  • Schedule appointments, meetings, interviews, and conferences; assemble background materials.


  • Coordinate internal and external training with the corporate office.


  • Act as a communication liaison with contract management, Regional NAVFAC representatives, and vendors.


  • Coordinate travel arrangements and contract meetings.


  • Schedule candidates and new hire interviews; complete reference checks.


  • Process contract security documents for new hires and coordinate with job coaches and HR staff.


  • Maintain paper and electronic filing systems and complete operational files.


  • Submit annual schedules and maintain quality control documentation.


  • Assist with property and asset records, ensuring accurate tracking of inventory, value, and location.


  • Requisition orders for contract purchases and maintain inventories.


  • Utilize government-provided maintenance software.


  • Attend meetings as needed, record and report meeting proceedings.


  • Review documents for accuracy, formatting, and completeness prior to supervisor approval.


  • Explain Didlake office procedures to subordinate staff and coordinate administrative forms.


  • Foster a positive team environment and maintain professional conduct.
