Scope:

Under general supervision and acting on own initiative performs advanced administrative duties to support the General Counsel and Legal Department. Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the company, policies, and programs. Arranges appointments/meetings and makes travel arrangements. Assembles and analyzes information, prepares reports, manuals, agendas and correspondence. Checks and processes expense reports.Transcribes materials from rough draft into final format which may include technical terminology and combining data from several sources.Plans layouts of reports and statistical tables. Coordinates and facilitates special projects as requested.Makes high-level contacts of a sensitive nature inside and outside the company. Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. Requires professional experience in working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dignitaries.

Duties and Responsibilities:

  • Provides administrative support to General Counsel and the Legal Department.

  • Organizes and prepares presentation material for Board meetings and Executive Team meetings.

  • Schedules travel as requested, prepares travel and entertainment expense reports for the General Counsel.

  • Assists with presentations & requests by other executives, as needed.

  • Handles details of highly confidential and critical information.

  • Coordinates and completes special administrative projects as assigned.

  • As directed, attends and takes minutes during executive meetings.

  • Exercises independent judgment within generally defined practices and policies.

  • Provides support to General Counsel and the Legal Department and various functions for business tasks at hand.

  • Works on projects of diverse scope where analysis of data requires evaluation of identifiable factors.

  • Coordinate and schedule meetings, conferences, video teleconference calls for General Counsel and the Legal Department that she/he supports.

  • Supports office meetings and as needed functions such as office lunches and holiday events.

  • Keeps an organized office, orders office supplies and receives mail and delivers same to the addressees.

  • Maintains the budget for the Legal Department and processes all invoices from vendors.

  • Exercises cost conscious approach to expense management.

Essential Knowledge and Skills:

  • Microsoft Word, PowerPoint, Excel and Outlook

  • Exceptional Verbal and written communications is a must, confidence and tact required

  • Effective and efficient multi-tasking

  • Ability to transcribe from redlined documents, type accurately and make revisions efficiently

  • Rely on experience and judgment to plan and accomplish goals

  • Ability to work independently and in a team, or lead an administrative assignment

  • Must exhibit a professional demeanor

  • Ability to maintain confidentiality of sensitive information

  • Ability to compile reporting with a high degree of accuracy

Education and Experience:

  • High School Diploma or GED equivalent. Associate's degree preferred.

  • At least four years executive/senior leadership administration experience.

Compensation for roles at TTM Technologies varies depending on a wide array of factors including but not limited to the specific office location, role, skill set and level of experience. As required by local law, TTM provides a reasonable range of compensation for roles that my be hired in New York, California and Colorado. For California-based roles, compensation ranges are based upon specific physical locations.

Must comply with TTM Export Control Policies and Procedures and all applicable laws including ITAR, EAR and OFAC including but not limited to: a) being able to identify ITAR product on the manufacturing floor and understand that access to these products and related technical data is restricted to only US Citizens and US Permanent Residents; b) recognition ofForeign Person visitors by badge differentiation; c) understand and follow authorization procedures for bringing foreign visitors into facilities (VAL); d) understand the Export and ITAR requirements for shipments leaving the US; e) manage vendor approvals for ITAR manufacturing and services.
