TITLE: Administrative Aide

DEPARTMENT: Audit

STATUS: Full-Time, Non-Exempt

PAY RANGE: $28 - $30

EDUCATION AND WORK EXPERIENCE:

* Minimum two years experience as an Administrative Aide or Executive Secretary
* Detail oriented and well organized
* 10 key adding machine experience helpful

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

* Working knowledge of Salvation Army programs and procedures helpful
* Computer literate with a strong working knowledge of Microsoft Word and Excel
* Knowledge of common office equipment such as fax, photocopier, scanner
* Good verbal skills - ability to communicate effectively
* Ability to work well with others and be a good team member
* Ability to use transcription equipment
* Ability to maintain confidentiality is critical
* Typing - 60 WPM Spelling - 90% Grammar - 85%

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Prepare correspondence for the Territorial Director of Internal Audit (TDIA) as needed.
2. Maintain the Audit Department files in good condition. Shred old audit files as needed.
3. Assist the TDIA in the preparation of items for the quarterly Territorial Audit Advisory Committee Meetings, including creating TSAMM Agenda items and adding the final reports to the agenda items in TSAMM and subsequent Agenda preparation, providing Minutes of previous Audit Council for approval by Council members.
4. Help arrange lodging and transportation for audit team and TDIA when traveling to Crestmont/THQ.
5. Provide liaison with IT Department for computer problems by scheduling computer technician time and delivery and pick-up of computers, loaners and printers when needed.
6. Update and maintain Auditor Information Sheet to include any changes in auditors' contact information.
7. Help maintain Audit Universe Excel Spreadsheets and calendars for audit planning with the TDIA (according to calendar year) for audit scheduling and tracking purposes.
8. Learn Auditboard OpsAudit to be able help and assist the TDIA in the system
9. Create new users and stakeholders within Auditboard
10. Scan and electronically file audit evaluations received from the field into Auditboard.
11. Send out annual Risk Assessment questionnaires to all Divisions; collect and enter all responses in Lotus Notes' Risk Assessment database to help with future audit scheduling.
12. Assist in preparation of materials, i.e. program and other handouts for annual Audit Training. Includes providing necessary audio-visual and any other required supplies for guest speakers or audit personnel.
13. Make hotel and other meeting arrangements, i.e. meals and breaks as necessary, training room set up, etc. for annual audit training. Might include arranging optional group activities or meals outside the specified training hours and meeting location.
14. Perform other related tasks and projects as required by the TDIA

PHYSICAL REQUIREMENTS:
