Who we are looking for:

ASCO has an exciting opportunity for a highly organized and service-oriented Meetings Associate to support the planning and delivery of meetings that bring together the global oncology community. As part of our Meetings Department, the Meetings Associate will play a key role in ensuring events are executed seamlessly - supporting both the big-picture logistics and the critical details that make every meeting a success.

This role is ideal for someone who thrives in a fast-paced, collaborative environment, and takes pride delivering exceptional customer service while keeping multiple priorities moving forward.

This position is hybrid with a primary location in Alexandria, VA.

Responsibilities

  • Provide administrative support tothe Meetings Department,includingtracking department credit card expensesand other duties as needed.

  • Coordinate and schedule appointments, includingrecurringroutines, monthly meetings, ASCO holidays,andmeeting-specific appointments.

  • Provide ongoinglogisticalsupport forallASCO Meetings including developing101 documents andcoordinatereview from staff, coordinateshipping (including outreach to staff,drafting instructions, creatingmanifests, printing labels, etc.),department supply orders, and other duties as assigned.

  • Provide logisticalsupporttheconference center team,such as:creatingfunction sheets,orderingcatering,makinghousing accommodations, andproviding in-person support to meetings in the ASCO Conference Center.

  • Content entry and maintenance of the Calendar of Eventson ASCO.org.

  • Assist with Annual Meetinglogisticstasks as needed.

  • Provide superior customer service to both internal and external customers both in person, in email and by phone, including answering the Meetings customer service phone lineandresponding toemails inthe general Meetings Services email account.

Required Education and Experience

  • Bachelor's degreeor equivalentyears ofexperience

  • 1 year of related administrative experience

  • Proficiencywith Microsoft Office applications and comfortable learningnew technology

Preferred Education and Experience

  • Customer service and/or hospitality/service industryexperience

  • Prior experience working in fast-paced environments with a sense of urgency

Work Environment

Positionwill primarily be phone/computer based with travel toat least one meeting a year.

Hybrid work location. Fast-paced office environment.

ADA/Physical Requirements

Mustlift upto25lbs.

Extendedperiodsseated or standing at a desk.

High use ofcomputerand other office technology equipment.

Travel

5-10 days/yr
