Essential Job Duties
Are you a highly organized, service-oriented professional who enjoys working with students, faculty, and data in a dynamic academic environment? The Department of Chemistry is seeking an Undergraduate Program Coordinator ( UPC) to serve as the operational and administrative leader of our Undergraduate Program Office.
About the Role
The UPC plays a central role in shaping the undergraduate experience. As the primary support partner to the Co-Directors of Undergraduate Programs (Co-DUPs), you will serve as the first point of contact for students, parents, faculty, and staff on program policies, procedures, and academic matters. You will be a trusted resource, problem-solver, and advisor-ensuring students receive accurate guidance and timely support throughout their academic journey.
Key Responsibilities:
Student & Faculty Support

  • Advise and assist Chemistry majors and non-majors on program policies and processes
  • Support transcript reviews, transfer credit evaluations, and Non-Degree Seeking student enrollment
  • Process Plan/Subplan forms and assist with CourseLeaf actions
  • Review degree audits, clear seniors for graduation, and approve graduates in SIS
  • Resolve record discrepancies in coordination with university administrative offices
  • Supervise temporary staff within the Undergraduate Office


Program Operations & Events

  • Coordinate all aspects of Fall and Spring graduation ceremonies
  • Manage the senior awards process and support award selection
  • Serve as liaison to Undergraduate Admissions, COS Academic Affairs, Registration and Records, and other university partners

Scheduling & Systems Management

  • Serve as the department's primary scheduling officer
  • Build and manage the semester course schedule for undergraduate and graduate offerings
  • Assign instructors, coordinate classroom space, and submit ASTRA requests
  • Enter and maintain all scheduling data in the Student Information System (SIS)

Data Analysis & Reporting

  • Analyze course offerings, enrollment trends, instructor availability, credit hour production, and space utilization to support strategic planning
  • Prepare reports for departmental and university leadership
  • Compile data for accreditation and reporting requirements, including SACS, ACS (annual and five-year reports), the Southeast Chemistry Chairs Conference, and the Department Annual Report

Communications & Alumni Engagement

  • Serve on the department's Communications Committee
  • Manage and maintain undergraduate webpages and digital content
  • Publish news posts and write four annual feature articles highlighting undergraduate students or alumni
  • Oversee Chemistry Alumni Relations in partnership with the Office of Advancement
  • Maintain the alumni database, coordinate communications, and organize alumni events

Outreach Support
  • Assist with faculty outreach efforts to schools, scientific institutions, and industry partners

The UPC is essential to ensuring a seamless, supportive, and data-informed undergraduate program. This position combines student engagement, academic administration, event coordination, strategic reporting, and digital communications-offering a unique opportunity to make a meaningful impact across the department.

Qualifications




Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Preferred Qualifications

  • Previous university/academic experience or education-related environment with focus on student success.
  • Experience with NC State Student Information System (SIS) and GoogleApps Suite & Calendar/Gmail.
  • Excellent interpersonal and communication skills with proven ability to provide support to internal and external stakeholders.
  • Ability to maintain attention to detail, stay organized and multitask in a fast-paced environment.
