Perkins Coie is seeking a Legal Practice Assistant I to provide relatively routine administrative support, with direct to moderate supervision, to designated attorneys, paralegals, senior leaders, other Legal Practice Assistants, and to Perkins Coie as a member of a team or as part of the Hub. We are seeking a highly organized and polished assistant with strong experience supporting senior leaders and a light legal background. This role requires sound judgment, discretion, and the ability to manage complex calendars, communications, travel, and administrative priorities in a fastpaced professional environment. The ideal candidate is proactive, detailoriented, and comfortable handling confidential information, coordinating across teams, and supporting legal or business processes as needed. In addition, as a member of the Perkins Coie LLP professional support staff team, this position is responsible for promoting and maintaining the goodwill and reputation of the firm. In this capacity, the Legal Practice Assistant I is expected to maintain the highest level of professional conduct and confidentiality at all times. ESSENTIAL FUNCTIONS These essential functions are primary job duties that successful candidates must be able to perform unassisted or with reasonable accommodation.
- Proactively maintain an overview of timekeepers' and senior leaders' workloads and priorities; anticipate next steps and implement followup procedures to ensure tasks are tracked and completed.
- Manage complex calendars, meetings, travel arrangements, and expense reporting for attorneys and senior leaders, exercising sound judgment when resolving scheduling conflicts and changing priorities.
- Create, edit, revise, redline, and proofread correspondence, presentations, reports, and other business or legal documents from dictation, handwritten, typed, or electronic copy.
- Prepare correspondence, presentations, reports, and other professional documents for internal and external audiences.
- Support document review, filing, signature coordination, and other basic legal administrative tasks, ensuring accuracy and adherence to firm and court requirements.
- Maintain calendars of meetings and business trips using current software applications and proactively apprise timekeepers of upcoming responsibilities.
- File paper and electronic documents with appropriate courts and agencies, ensuring proper procedures are followed and deadlines are met.
- Receive, screen, and transmit telephone and conference calls in a professional manner; take accurate messages for attorneys, clients, senior leaders, and staff.
- Process and route incoming mail, faxes, and electronic communications promptly and accurately.
- Prepare outgoing mail and shipments, arranging courier or messenger services as needed to meet deadlines.
- Coordinate with docketing specialists to review docketing reports and ensure accurate deadlines and compliance with firm procedures.
- Coordinate preliminary conflicts checks with Professional Standards and assist with new client/matter intake forms and engagement letters.
- Assist with the billing process, including daily time entry, proofreading, releasing time, distributing monthly proformas, and preparing final bills with cover letters as appropriate.
- Prepare accounting and administrative documents, including check requests, expense reimbursements, and trust documentation.
- Coordinate client, attorney, and administrative meetings, including conference room scheduling, visitor offices, meals, materials preparation, and thirdparty arrangements as needed.
- Set up and maintain administrative and client files; ensure electronic and paper records are organized, accurate, and current.
- Perform copying, scanning, faxing, and notebook preparation as required.
- Conduct internet and business research as directed.
- Coordinate effectively with internal teams, clients, and external contacts, maintaining professionalism and confidentiality in all interactions.
- Occasionally assist attorneys or senior leaders with personal work requests, as defined in firm policy.
- Maintain compliance with firm policies, confidentiality agreements, and professional standards.
- Provide coverage within workgroups, proactively assisting other Legal Practice Assistants as needed.
SPECIFIC SKILLS REQUIRED
- Strong organizational skills with the ability to manage multiple priorities and complex schedules in a fastpaced professional environment.
- Exceptional attention to detail, discretion, and sound judgment when handling confidential or sensitive information.
- Excellent written and verbal communication skills; ability to produce polished, professional documents.
- Strong command of the English language, including grammar, spelling, and formatting.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and document management systems.
- Ability to work independently and collaboratively across teams.
- Familiarity with basic legal documents, terminology, court procedures, and administrative legal workflows.
- Ability to adapt quickly to changing priorities and communicate effectively with senior leaders and attorneys.
EDUCATION AND EXPERIENCE
- High school diploma or equivalent required.
- Significant executive assistant or senior administrative support experience preferred, ideally supporting senior leaders or attorneys.
- Previous law firm experience or familiarity with legal documents, terminology, or professional services environments strongly preferred.
