The Department of Modern Languages and Literatures (MLL), located in the College of Arts and Humanities (CAH) at the University of Central Florida (UCF) is a student-centered department with a collegial and friendly faculty and staff. The Department offers B.A. and M.A. degrees, as well as undergraduate and graduate certificates, and is known for excellence in research, teaching and service to students and the community. The Opportunity:

UCF's Department of Modern Languages & Literatures (MLL) seeks applications for an Administrative Coordinator II. Located in the main office of MLL, the Administrative Coordinator II will work directly with the Chair of Modern Languages & Literatures in all aspects of department operations, serving as a key administrative partner with input at the strategic level, and holds responsibility for the administrative coordination of the department's two graduate programs. The Administrative Coordinator II oversees all administrative functions of this department of over 50 faculty members (full-time and adjunct) and Graduate Teaching Assistants and supervises a team of 3-4 student assistants. This position is also responsible for understanding, applying, and ensuring compliance with all UCF rules, policies, and procedures related to office operations.

This individual is confident navigating complex processes, managing ongoing and cyclical responsibilities, and supporting multicultural student and faculty populations. Responsibilities:


  • Serve as the primary administrative coordinator for the Department of Modern Languages & Literatures, supporting the Chair with day-to-day and strategic operations.

  • Coordinate all administrative functions for graduate programs, including admissions processing, student records, contracts, and faculty assignments.

  • Liaise with faculty, graduate coordinators, and campus partners to ensure compliance with university policies, timelines, and procedures.

  • Oversee departmental administrative processes; monitor workflows and recommend improvements to enhance efficiency and effectiveness.

  • Support annual program assessment activities and assist with data collection, reporting, and review processes.

  • Act as the departmental point of contact for IT purchases, equipment inventory, and technology-related needs.

  • Assist with budgeting activities, purchasing, and documentation in coordination with campus business centers.

  • Supervise and train student assistants; monitor hours and approve time in Workday.

  • Serve as a knowledgeable resource on UCF administrative systems, policies, and procedures.

  • Foster a welcoming, organized, and collaborative office environment for faculty, staff, and students.


Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • 4+ years of experience in higher education, including customer service, working with faculty and students, and interacting with institutional partners.

  • Experience overseeing departmental administrative operations involving multiple stakeholders.

  • Demonstrated experience supporting graduate programs, including admissions, student records, contracts, and ongoing student support.

  • Familiarity with Workday, SLATE, Cobblestone, or comparable enterprise systems.

  • Experience serving as a liaison with internal partners (e.g., HR, finance, IT, global/international units).

  • Experience coordinating or supporting academic or program assessment processes.

  • Master's degree preferred.

  • Strong organizational skills and the ability to manage multiple priorities, including ongoing and cyclical processes, with minimal oversight.

  • Strong interpersonal skills; ability to work effectively in a collaborative and multicultural academic environment.

  • Proactive problemsolver who anticipates needs and identifies opportunities for process improvement.
