External Relations at the University of Virginia (UVA) seeks a Project Associate (PA) to join the Corporate and Foundation Relations (CFR) team.The University of Virginia has a strong and reputable advancement community, boasting effective, results-oriented, and resourceful professionals. The Project Associate will serve as an organizational point person for and provide general administrative support to the CFR team. The PA will track projects, ensure major milestones are achieved, and provide executive-level support for the Assistant Vice President of CFR. The PA will also assist with travel and expense reimbursement, event preparation, scheduling, data entry, and reporting needs. Key Responsibilities: Administrative and Operational Support
Oversee daily operations and key workflows (gifts, grants, proposals, partnerships) and maintain standard operating procedures. Coordinate tools, resources, and processes to support efficient execution of outgoing work and collaborate with internal stakeholders to refine operations. Support financial and administrative functions, including purchase orders, expense reconciliation, budget coordination, and general office operations. Provide highlevel executive support to the AVP, including calendar management, materials preparation, correspondence, and followup tracking.
Project Management
Lead and manage projects from initiation through implementation, ensuring clarity of scope, timelines, and deliverables. Monitor progress, address risks or bottlenecks, and ensure stakeholders meet deadlines and have necessary materials. Serve as the point person for assigned projects and coordinate crossfunctional collaboration across CFR and University partners. Facilitate communication and alignment with units such as External Relations, Finance, Legal, Research Administration, OSP, Innovation teams, and schools/units.
Meeting & Event Coordination
Coordinate logistics for virtual and inperson meetings led by the team or the AVP, including scheduling, drafting agendas, gathering documents, participant communication, room setup, and collaboration with internal partners. Develop agendas (with input from attendees), prepare supporting materials, and capture meeting updates, including for prospect strategy meetings. Coordinate monthly team meetings and weekly/monthly AVP directreport meetings.
Development & Prospect Support
Serve as a central coordination hub to balance team capacity, deadlines, and institutional priorities, and support transparent, welldocumented decisionmaking through clear processes and datainformed recommendations. Manage intake processes for corporate and foundation opportunities, ensuring appropriate review, prioritization, and routing. Provide enhanced development support for the AVP, including drafting and proofreading donor correspondence and acknowledgment letters; manage the AVP's portfolio of prospects, tracking next steps, visit priorities, and related activity. Support development of briefing materials and filing of contact reports for University leadership as directed.
Data & Technology Management
Provide data entry and database management support, including running reports, generating mailing lists, updating activities, and maintaining donor/prospect information. Maintain trackers of team activity and assist with creating and updating weekly, monthly, quarterly, and annual reports. Manage tools that support team operations by developing and maintaining fluency in UA technologies (e.g., Advance Web, Advance Performance, EverTrue, Tableau, Salesforce). Coordinate with Advancement Services on improvements to reports, tools, and data processes.

Proficient in computer applications, working knowledge of relational database and software programs, especially SQL and Tableau Ability to navigate database systems and analyze information using critical thinking and critical thinking skills. Demonstrate excellent oral and written communication, organizational skills, and strong customer service to meet deadlines. Proficiency with Microsoft Office programs. Ability to work independently, using sound judgment to navigate obstacles as needed and complete tasks with minimal guidance. Prior experience with CRM databases and other marketing or event software such as SalesForce, Marketing Cloud, Eventbrite, etc.
Physical Demands This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally requires traveling some distance to attend meetings, and programs. Salary Range

UVA Advancement offers a flexible and hybrid workplace. All team members must have access to and maintain a secure home office environment with high-speed internet service and be able to work collaboratively with others using a variety of technologies and tools. Depending on the type of position and work performed, or as deemed by the manager, some positions may be required to work intermittently in our shared office space located in Charlottesville, Virginia. This hybrid position can be worked remotely, although weekly in-person work in our office building, on UVA Grounds, or at event venues is required.
