Brief Summary of Job Duties: Under general direction of the Production Manager, the Production Associate provides professional-level event production management for Arts & Lectures programming. The core purpose of the role is to own and manage the operational infrastructure of production while independently executing assigned events and implementing the strategic direction established by the Production Manager. While the Production Manager leads and advances all Arts & Lectures events and sets production standards, oversees budgets, contracts, technical riders, and venue coordination, the Production Associate independently manages operational logistics, event documentation systems, financial tracking, student staff supervision, and execution for small- to mid-scale programs as advanced by Production Manager. Applying professional event management concepts, the Production Associate exercises independent judgment and is outcome-driven rather than task-driven. The Production Associate uses independent logistical decision-making within approved budget parameters; has real-time operational authority during assigned events; exercises discretion and independent judgment; manages fiscal implementation and tracking; has ownership of systems development and maintenance; offers vendor selection recommendations within established frameworks; and oversees functional supervision of student staff. Due to the nature of the live performing arts environment, the schedule includes evenings and weekends and requires schedule fluidity tied to touring artists and programming cycles; real-time decision-making authority; and independent problem-solving during productions. Expected performance outcomes include: events execute smoothly and on schedule; production documentation is accurate and audit-ready; vendors and campus partners receive clear communication; financial tracking is precise and timely; production systems are standardized and scalable.

Required Qualifications

  • Bachelor's degree in related area and/or equivalent experience/training.
  • 1 - 3 years - Experience in event production or live performing arts operations, including hands-on coordination of logistics such as equipment rentals, catering, transportation, and vendor management for small- to mid-scale events or productions.
  • 1 - 3 years - Administrative and/or financial tracking and reconciliation experience
  • Willingness and ability to work evenings and weekends.
  • Basic knowledge of campus mission, vision, goals, and objectives, with the ability to apply this understanding in supporting live event production operations.

Preferred Qualifications

  • Supervisory or team leadership experience, particularly overseeing student workers and/or volunteers.
  • Experience developing and maintaining operational systems and documentation, including production calendars and run-of-show documents.
  • Experience working in deadline-driven, real-time environments with non-traditional schedules (evenings and weekends), demonstrating independent problem-solving, on-site decision-making authority, and adaptability to dynamic programming cycles such as those found in touring arts, hospitality, or live entertainment settings.

Job Functions and Percentages of Time:

30% - Production Logistics & Implementation:

  • Interpret hospitality and technical riders and implement logistical requirements

  • Coordinate select equipment rentals, transportation, catering, and campus services

  • Order and receive event-related goods and supplies

  • Develop draft run-of-show documents to be reviewed, completed, and distributed by Production Manager

  • Maintain event contact sheets

20% - Student Supervision & Workforce Development:

  • Recruit, train, and supervise 15-25 student administrative and production assistants

  • Assign event-day roles and responsibilities

  • Provide general direction to the student hospitality and production student staff in preparation for events

  • In coordination with Patron Services, provide general direction to front-of-house student staff as it pertains to the success of a smooth production

  • Monitor performance and provide feedback

  • Ensure timekeeping compliance and labor accuracy

  • Develop training materials and standardized procedures

  • Coordinate scheduling for student crews across season

  • Mentor students in professional production practices

15% - Event Execution & On-Site Leadership:

  • Serve as on-site Production Lead for select low- to mid-complexity lectures, films, and performances (as advanced by the Production Manager) to be determined in consultation with senior leadership

  • Supervise student staff and temporary crew during select high- complexity events

  • Troubleshoot real-time operational issues

15% - Financial Coordination & Settlement Preparation:

  • Reconcile select invoices and vendor payments

  • Prepare merchandise settlement documentation for review

  • Oversee Concessions closeout

  • Maintain select financial documentation for audit readiness

15% - Production Systems & Infrastructure Management:

  • Maintain master production calendar

  • Maintain inventory tracking and storage systems

  • Procure necessary permits, exception forms, compliance documents, and COIs

5% - Other duties as assigned:

  • Occasionally provides administrative and event support for other A&L projects and special events as directed by Senior Management
