Join Our Team as a (Temporary) Benefits and Leave of Absence Coordinator at Epiroc!

Support the administration of employee benefit plans and leave of absence programs. Serves as an email point of contact for general benefits and leave of absence inquiries. Monitors and actions daily new benefit enrollments, life event documents and enrollment requests. Collaborates with both internal and external partners to process new and existing leave of absences in accordance with federal, state, and local laws and organizational policies.

Work Type: Onsite (Temporary Position)

Shift Timings: Monday - Friday from 8:00 am - 5:00 pm

Responsibilities:



  • Provide administrative support with leave of absence programs (e.g., FMLA, ADA accommodations in partnership with HR, state paid family/medical leave, parental leave, personal and medical leaves) from intake through return-to-work.
  • Coordinate disability claims with third-party administrators (TPAs), ensuring timely responses to internal / external partners.
  • Update employee timesheets each pay period with the correct payroll coding for all approved leave policies.
  • Provide employee education and guidance regarding benefits and leave options, eligibility, required documentation, timelines, and pay impacts.
  • Maintain accurate records in HRIS/leave management systems; ensure data integrity, auditing, and document retention consistent with policy.
  • Coordinate with Payroll on pay codes, benefit premiums, and deductions.
  • Manage benefits enrollment changes triggered by qualifying life events; ensure correct effective dates and vendor updates.
  • Ensure compliance with applicable laws and regulations (e.g., ERISA, HIPAA, COBRA, FMLA, ADA, state leave laws) and maintain confidentiality of sensitive information.
  • Daily monitoring of life event notifications in HRIS system.
  • Review and approval of life event documents and requests in HRIS system.
  • Handle general benefits and leave emails from internal/external stakeholders.
  • Support the benefits team during annual open enrollment with administrative tasks and projects as needed.
  • Support the benefits team with other ad hoc administrative tasks as needed.
  • Support monthly audit and reconciliations.



Knowledge/Education:



  • High school diploma.
  • 1+ years of office administration experience preferably in HR, benefits and/or leave of absences.
  • Familiarity with FMLA, ADA, STD/LTD, ERISA, COBRA, HIPPA.
  • Familiarity with employee benefits plan administration.
  • Experience using an HRIS system (e.g., Dayforce, Workday, UKG, ADP, or similar).
  • Strong attention to detail with demonstrated ability to handle sensitive/confidential information.
  • Proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills with a customer-service mindset.


Preferred Qualifications:



  • Some college or college degree.
  • Minimum 2 years of benefits and / or leave administration experience.
  • Experience with global or multi-state workforce.
  • Experience using Dayforce.
