This role is under the supervision of the Clinical Business Operations Supervisor, the Administrative Support role is primarily responsible for coordinating multiple services within the AP/CP Administrative operations. This position requires strong working relationships with clients, staff, patients, physicians, and vendors to support outstanding pathology procurement and material processing.

As a successful candidate, you will:

  • Serve as the primary liaison for City of Hope (COH) patients, outreach clients (non-COH patients), and more than 30 COH Community Clinics by coordinating specimen collection, logistics, laboratory supplies, pricing inquiries, and report status. Ensure timely and accurate processing of requests in accordance with departmental procedures while safeguarding the confidentiality of patient specimens and documentation.
  • Maintain and enhance customer relationships with external facilities, community sites, internal laboratories, and Outreach clients by following up on specimen requests to obtain required information, ensuring timely resolution of inquiries, and accurately documenting all communications and actions in the appropriate database.
  • Process material requests from outside facilities to perform secondary diagnosis confirmation.
    • Responsible for reviewing and maintaining all necessary work queues daily.
    • Partner with Patient Financial Services (PFS) and Medical Foundation Authorizations department to resolve billing issues and verify authorization approvals needed for testing.
    • Handles laboratory orders and is accountable for all billing information for testing
  • Maintain professional knowledge and enhance job-related skills by participating in seminars, workshops, and other continuing education opportunities. Develop proficiency in relevant technologies and software, including advanced Microsoft Office applications (Excel, Word, and PowerPoint), to support operational effectiveness and continuous process improvement.
  • Maintain open and effective communication with the supervisor to support operational efficiency and departmental effectiveness. Promptly communicate and escalate operational issues, concerns, or obstacles as they arise to facilitate timely resolution and minimize disruptions.

  • Provide cross-functional support by performing the duties of team members as needed to ensure continuity of operations and effective collaboration across departments. Complete special projects and perform other job-related duties as assigned by the Supervisor to support departmental and organizational objectives.

Qualifications

Your qualifications should include:

  • High School or equivalent. Experience may substitute for minimum education requirements.

  • Three years responsible secretarial or clerical experience in a professional environment.

  • Computer experience necessary.

  • Preferably: Background in Microsoft preferred.
