Description and Requirements
Position Summary
The Project Management Specialist provides project governance and portfolio management support for the Chief Security Office (CSO) and Chief AI Office (CAIO). This role helps establish and maintain a centralized Project Management Office (PMO) by supporting project intake, governance processes, portfolio reporting, and executive visibility across security and AI initiatives. The Project Management Specialist partners with program managers and leadership to ensure projects align with strategic objectives, maintain consistent reporting standards, and provide timely insights into project health, risks, dependencies, and resource utilization.
Key Responsibilities:
  • Support the establishment, maintenance, and continuous improvement of the CSO & CAIO Project Management Office (PMO).
  • Maintain and administer the PMO tool in Smartsheet, ensuring data accuracy and portfolio visibility.
  • Coordinate project intake processes, including intake forms, project identifiers, evaluation criteria, and governance workflows.
  • Provide guidance and support to program managers on project management methodology, reporting standards, and deliverables.
  • Ensure projects align with organizational priorities and strategic objectives.
  • Develop and maintain executive dashboards, portfolio health reports, KPI reporting, and operational briefings.
  • Automate project notifications, status updates, and reporting workflows where appropriate.
  • Monitor project progress, risks, dependencies, resource utilization, and key milestones across the portfolio.
  • Enforce monthly project reporting cadence and track compliance with PMO governance requirements.
  • Identify and escalate cross-functional risks, issues, and decisions while tracking mitigation actions and resolutions.
  • Collaborate with CSO & CAIO leadership, program managers, and cross-functional teams to support project execution and portfolio governance.
Basic Qualifications:
  • Bachelor's degree in Business, Project Management, Management, or a related field.
  • 5+ years of experience in project coordination, project management, PMO support, or portfolio management.
Preferred Qualifications:
  • Experience supporting project governance, reporting, and executive-level communications.
  • Proficiency with Smartsheet and Microsoft 365 applications.
  • Strong analytical, organizational, and reporting skills.
  • Experience developing and maintaining project dashboards, portfolio reporting, and project tracking tools.
  • Ability to manage multiple priorities and coordinate across cross-functional stakeholders.
  • Project Management Professional (PMP) or other PMI certification.
  • Experience establishing or supporting a Project Management Office (PMO).
  • Experience with enterprise reporting and visualization tools such as Power BI.
  • Experience supporting cybersecurity, enterprise security, AI governance, or technology organizations.
  • Demonstrated experience with project governance, risk management, portfolio reporting, and strategic planning
