ChristianaCare is looking for a full time Property Management Coordinator II to manage assigned owned and leased properties, including freestanding Emergency Departments, healthcare centers, office buildings, warehouses, and physician-owned condominiums that are owned, leased, or managed by ChristianaCare. This position supports the day-to-day operations of assigned properties, including maintenance and repair activities, security services, housekeeping, and other facility support functions. The Property Management Coordinator II assists with annual budget preparation, financial reporting, and monitoring property performance. The role also serves as a liaison with vendors, landlords, tenants, condominium owners, and condominium associations. Benefits of working at ChristianaCare
Maintain positive relationships with tenants, condominium owners, and condominium associations (collectively referred to as customers). Serve as the primary point of contact for customers regarding facility-related concerns. Coordinate and facilitate the resolution of housekeeping, maintenance, security, and parking issues. Respond to customer maintenance and housekeeping requests in a timely and professional manner. Follow up to ensure satisfactory resolution and maintain documentation for potential chargeback purposes. Serve as the point of contact for ChristianaCare-owned suites within assigned buildings across multiple locations. Conduct periodic inspections of properties and tenant spaces to ensure compliance with lease requirements and proper upkeep of facilities. Prepare monthly property inspection reports and coordinate corrective actions for identified deficiencies. Assist with coordinating and prioritizing work assignments for Facilities Engineering Ambulatory Services staff. Review executed lease agreements to verify responsibilities and ensure compliance by all parties. Coordinate and/or perform monthly inspections of vacant spaces and ensure they are properly maintained. Assist with budget tracking, financial reporting, and development of annual operating budgets for assigned properties. Assist with the collection and reconciliation of reimbursable labor and other charges, and support the development of Common Area Maintenance (CAM) charges for submission to the Real Estate Department. Assist with developing Requests for Proposals (RFPs), soliciting bids, and negotiating contracts for facility support services. Assist with obtaining estimates and bids for repairs, renovations, and construction projects. Assist with utility invoice tracking and monitoring facility energy consumption throughout the organization. Identify and investigate opportunities for cost savings and operational efficiencies. Coordinate special tenant requests, building signage updates, and replacement of furniture in public areas. Perform assigned duties in accordance with established safety policies and procedures. Promptly report unsafe conditions, hazards, incidents, or safety violations to management. Perform other related duties as assigned. Hours:
Knowledge of property management and facility operations principles. Knowledge of housekeeping standards and practices. Knowledge of procurement and purchasing processes. Ability to build and maintain positive relationships with caregivers, tenants, landlords, vendors, contractors, and other stakeholders. Ability to identify facility and housekeeping deficiencies and coordinate corrective actions. Ability to oversee vendor and service contracts. Ability to promote a positive customer service and public relations image. Ability to assist in preparing and monitoring budgets. Strong organizational skills with the ability to prioritize work and meet deadlines. Demonstrated sound judgment, professionalism, and discretion. Strong attention to detail. Ability to analyze issues and make informed decisions. Effective conflict resolution and problem-solving skills. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Access or equivalent database systems. Strong verbal and written communication skills. Physical demands:Manual dexterity sufficient to operate a computer, telephone, and other office equipment. Visual acuity to read documents, correspondence, and computer screens. Ability to conduct walking inspections of assigned facilities and grounds. Working conditions:Primarily works in an office environment with a combination of sitting and standing throughout the day. Hourly Pay Range: $25.52 - $38.28 This pay rate/range represents ChristianaCare's good faith and reasonable estimate of compensation at the time of posting.
