Job Summary:

The Coordinator of Student Employment leads, coordinates, reconciles and administers University based student employment programs (including Job Location and Development or JLD) and ensures online resources are maintained.

Develops and implements reports relevant to retention, metrics and time to degree - all leading to University key performance indicators. Oversight of annual budgets for local and on-campus Federal Work Study programs. Provides input on the initial annual allocation and redistribution of Federal Work Study funds. Assists in advising students in meeting learning office outcomes, evaluating academic progress appeals and participating in the loan recertification process.

Job Description:

Leads essential student employment functions that secure growth in both Federal Work Study and regular campus employment such as:

  • Performs quarterly reconciliation of Federal Work Study expenditures with University Payroll and Controller for annual fiscal year reporting to the U.S. Department of Education.

  • Coordinates recruitment of student employment positions for students seeking on campus part-time employment.

  • Coordinates with Career Development Services in organizing campus-wide events (e.g. Student Employment Week, job fairs) and ensures online resources are maintained. Ensures student submission of documentation required for processing part-time employment forms, posting of employment vacancies and serving as campus liaison with departmental student employment concerns.

  • Ensures compliance with federal, state and institutional regulations/guidelines while meeting with external auditors Job Location Development and community service reporting for Fiscal Operations Report and Application to Participate.

  • Ensures the integrity of the student employment process (from applications, time reporting and payroll to exit interview) for all student employees hired by the University.

Student Employment Eligibility:

  • Process appropriate paperwork for students to present to potential employers.

  • Collects and posts position openings and recruits student candidates to meet institutional community service requirement including America Reads/Counts Program and off-campus non-profit organizations.

Assists in the following financial aid functions:

  • Reviews appeal petitions for students not meeting satisfactory academic progress standards.

  • Assists with the certification of student loan eligibility.

  • Assists students in identifying funding options to minimize institutional indebtedness.

  • Participates in University events that facilitate exposure to student employment such as Open House and Information Sessions.

  • Conducts workshops for supervisors on student employment procedures.

Supervisory Responsibilities:

  • Supervises two civil service employees, as well as assume responsibility for training, assigning work and conducting annual performance reviews.

Other duties:

  • Performs other duties/supporting functions as needed and assigned.

Minimal Qualifications:

1. Any one or combination totaling three (3) years (36 months) from the categories below:

A. College coursework in any discipline, as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)

  • Associate's Degree (60 semester hours) equals eighteen months (18 months)

  • 90 semester hours equals two (2) years (24 months)

  • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)

B. Work experience coordinating office, business, or customer service/relations activities.
2. One (1) year (12 months) of higher education, student services, or closely related experience.

Hours: Monday - Friday, 8:30 A.M. - 4:30 P.M. (Hours may vary based on departmental needs.)

Location: NEIU Main Campus (5500 North St. Louis Ave. Chicago, IL 60625)

Setting: Financial Aid Coordinator is a primarily in-person position and is eligible for one (1) remote workday per month, subject to departmental needs and University policy.

This position requires a background check.
