Job Summary

The Office Coordinator is responsible for providing broad administrative, operational, financial, and human resources support to assigned business teams. This role coordinates meetings and events, manages office and business information, supports financial and expense activities, assists with employee programs, and contributes to continuous improvement initiatives.

The ideal candidate is highly organized, adaptable, self-motivated, and comfortable managing multiple priorities in a fast-paced environment. This position requires strong communication, presentation, problem-solving, and Microsoft Office skills, as well as the ability to quickly learn new systems, tools, processes, and business operations.This is a temporary leave-of-absence coverage assignment.

Job Responsibilities



  • Process expense reports and financial documentation accurately and within established deadlines.
  • Support purchasing and expense activities, including purchase card transactions, capital spending tracking, and office supply ordering.
  • Monitor and coordinate site supply needs and maintain appropriate inventory of office and meeting supplies.
  • Provide administrative support for human resources activities and employee programs.
  • Maintain accurate organizational charts and related employee information.
  • Coordinate employee wellness and benefits-related activities, including health screenings, flu clinics, and benefits meetings.
  • Support employee resource group activities by coordinating meetings, supplies, food, prizes, and other event requirements.
  • Maintain and update leadership dashboards, reports, contact lists, distribution lists, and other business information.
  • Support forecasting, order tracking, quote management, and related business reporting activities.
  • Maintain databases, public folders, shared resources, and other information management tools.
  • Coordinate meeting room access and scheduling based on established priorities.
  • Partner with Facilities, Security, IT, Catering, and other internal teams to coordinate meetings and events.
  • Coordinate and maintain shared company resources and administrative assets.
  • Support leadership meetings, staff meetings, quarterly business meetings, employee roundtables, community events, and other business activities.
  • Assist with the development and organization of presentations for meetings and leadership communications.
  • Deliver presentations to internal audiences at various organizational levels, both in person and virtually.
  • Support continuous improvement projects and initiatives as assigned.
  • Collaborate with cross-functional teams to support business operations and organizational priorities.
  • Learn and effectively use assigned business systems, tools, processes, and applications.
  • Support customer, sales operations, and business-related activities as needed.
  • Perform other administrative and operational duties as assigned.


Job Requirements



  • Minimum of 2 years of experience in customer support, administrative support, office coordination, business operations, or a related role.
  • Bachelor's degree required.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Ability to develop professional presentations and communicate effectively with audiences at various levels of an organization.
  • Ability to work independently, exercise sound judgment, and manage assigned responsibilities with minimal supervision.
  • Strong problem-solving and analytical skills.
  • Ability to quickly learn new systems, tools, processes, products, and business operations.
  • Ability to work effectively in a fast-paced environment with changing priorities.
  • Strong attention to detail and ability to maintain accurate records and documentation.
  • Ability to collaborate effectively with cross-functional teams.
  • Strong customer service and relationship-building skills.
  • Demonstrated curiosity, enthusiasm, creativity, confidence, learning agility, and adaptability.
  • Ability to manage ambiguity and take initiative in identifying and resolving issues.


Preferred Qualifications



  • Experience supporting Sales Operations, business operations, or a related business function.
  • Knowledge of Sales Operations tools, systems, and processes.
  • Experience supporting Human Resources activities or employee programs.
  • Experience coordinating meetings, events, leadership activities, or community programs.
  • Experience supporting continuous improvement initiatives.
  • Experience maintaining reports, dashboards, databases, distribution lists, and other business information systems.
